The Students and Education Portfolio (SEP) at RMIT Vietnam leads the University’s learning and teaching excellence, curriculum innovation, and integrated student experience. Working in close partnership with academic schools and central portfolios, SEP advances RMIT’s Knowledge with Action strategy and RMIT Vietnam’s Country Commitment by embedding Active, Applied and Authentic (AAA) pedagogies across programs and ensuring students are prepared for future workplaces.

ABOUT THE ROLE
The Associate Registrar Vietnam, Academic Registrar’s Group (ARG) Vietnam, is responsible for making of key strategic administrative, programming, financial and staffing decisions in relation to student lifecycle and student integrity at RMIT Vietnam. In addition, this position provides inputs in day-to-day operation of ARG in Vietnam and works closely with ARG in Melbourne to support RMIT Vietnam Executive Leadership Team (ELT) in developing seamless approaches to provide an equivalent standard of support and services to students and staff at RMIT Vietnam and to ensure academic policies and processes are best practised. Finally, the position plays a strategic role in large-scale projects such as RMIT scholarships, student system development, and graduation ceremonies to ensure budget, planning, transition, and execution are well in place.
It is required that the position works both strategically and operationally across a diverse set of university departments and stakeholders, and to model RMIT values and behaviours in the following five key areas:
- Government Reporting, Academic Policy planning and Student Visa Compliance.
- Enrolments and Student Records, including Student Financials
- Assessment Support, Student Conduct and Complaints
- Academic Governance and Systems.
- Completions, Awards and Graduations
This position is strategic in nature but retains operational oversight of activities by ARG in RMIT Vietnam
KEY ACCOUNTIBILITIES
- To advance the vision of the Students and Education Portfolio (SEP) led by the Dean of Students, collaborate with the relevant leadership teams, develop and implement innovative strategies to ensure alignment with RMIT Vietnam’s regional objectives. To anticipate future trends in higher education and academic administration contributing to the development of RMIT Vietnam and the university as a whole.
- Working collaboratively with the Academic Registrar’s Group (ARG) leadership team, to own, develop and provide strategic direction in the areas of registry and governance for RMIT Vietnam to succeed with its operational and development goals and objectives. To facilitate functional alignment between RMIT Vietnam and Melbourne operations through respective teams, systems and processes.
- Identify, highlight, and tabulate proposals to control, prevent, mitigate, and report to higher management critical risks of non-compliance with the academic policies and procedures or scopes of services delivered beyond stipulated regulations or system potential failures.
- Be an authorised signatory designated by RMIT Vietnam Pro Vice-Chancellor and General Director for student-related documents released to relevant authorities, students or third parties. Be the single point of contact to provide student information and regular reports to statutory authorities following RMIT Privacy Policy and Delegation of Authority Policy.
- Lead, manage and enhance the delivery of key administrative services across the Student Lifecycle – from the first enrolment to graduation – for preparatory, undergraduate, and post-graduate levels at all RMIT Vietnam locations. Drive the execution of key events including graduation ceremonies and scholarship awards.
- Ensure governance of assessment support and student conduct processes to protect academic integrity and to best practice Student Conduct Policy and Student Conduct Regulations, facilitating functional alignment between RMIT Vietnam and Australia.
- Represent the Academic Registrar Group (Vietnam) on relevant working groups and committees, hearing sessions including but not limited to the RMIT Vietnam Incident Management Team (IMT) for matters concerning student complaints, student misconduct, and academic policy.
- Oversee and provide management support in (i) student-related complaints and (ii) third-party complaints aligning with policies and procedures of the university and in consultation with the ARG Complaint team and the Central Complaints and Investigation team in Australia.
- Proactive drive and be a conduit for policy review collaborating with RMIT global to provide a voice for RMIT Vietnam, enacting changes, and ensuring relevance to local operations. Be responsible for providing advice and guidance to staff and other stakeholders on academic policies and processes. Pro-actively disseminate changes through different channels including but not limited to training, workshops and communication platforms.
- Oversee, uplift, and enhance student systems operations and developments being gatekeeper to relevant student and academic platforms to the benefit of RMIT Vietnam.
- Oversee the development, review and publication of academic calendar, student guides and relevant process documentation; deliver training, workshops, information sessions and presentations for stakeholders and students: ensure information is effectively communicated and published across multiple channels to ensure students and staff are well informed about Student Lifecycle and Student Integrity processes and issues. Create awareness to facilitate functional and governance alignment between RMIT Vietnam and Australia.
- Liaise, communicate, and collaborate with Academic Schools, Student Connect, Finance and other key departments regularly to support and gather input on the Student Lifecycle and Student Integrity experience. Monitor and provide support on relevant compliance and quality issues and facilitate the resolution of complex issues.

KEY SELECTION CRITERIA
- A Bachelor’s degree in a relevant field (e.g. business administration, educational leadership, and management). A Master’s degree is desirable as is prior abroad experience.
- A minimum of 10 years of managerial experience of which at least 5 years of business/operational development experience in an education or training environment, preferably with multinational organisations.
- Demonstrated leadership and managerial experience in a similar position with excellent administration management and organisational skills, project management and the ability to drive and implement strategic initiatives.
- A forward-thinker who is one step ahead and has foresight in order to manage issues before they occur.
- A strong understanding of university policy, governance and processes related to the Student Lifecycle, Student Integrity, and strong operational management skills.
- Well-versed in Vietnam's local context, government relations and experience in working with local authorities and foreign government agencies, especially in matters related to international students.
- Demonstrated ability to work with a diverse group of stakeholders with strong presentation and negotiation skills.
- Track records in developing and implementing relevant policy, processes and protocols across an organisation; demonstrated problem-solving skills and proven experience in managing and providing solutions to complex issues.
- A data-driven person who embraces changes and improvements in quality management processes to drive continuous improvement.
- Experience working with databases, customer management systems and relevant software.
- Excellent communication skills, including written, verbal, and visual communication, experience in writing process documentation and reports, delivering presentations, and the ability to convey complex ideas to diverse audiences.
- Ability to display appropriate behaviours in line with the position, RMIT Values and RMIT Leadership Model.
