Job Summary
The Executive Assistant provides high-level administrative support to the Chief Executive Officer and Chief Investment Officer (CEO/CIO) and Chief of Staff, and serves as backup support to the Executive Leadership Team.
Reporting to the Chief of Staff, this role is a trusted member of the executive office responsible for managing complex schedules, travel, meetings, communications, and day-to-day priorities. The Executive Assistant must exercise strong judgment, discretion, responsiveness, technological acumen, and attention to detail while supporting both professional and select personal needs of the CEO/CIO.
Duties / Responsibilities
Executive Support
- Manage complex professional and personal calendars, meetings, appointments, and executive commitments.
- Coordinate meetings, events, materials, correspondence, and other executive-office logistics.
- Anticipate scheduling needs, resolve conflicts, and adapt quickly to changing priorities.
- Support the CEO/CIO and Chief of Staff with special projects and other executive-office priorities.
Executive Prioritization and Information Management
- Manage the flow of information, communications, requests, and follow-up reaching the executive office.
- Exercise sound judgment in prioritizing, redirecting, or escalating matters requiring executive attention.
- Prepare and organize agendas, presentations, briefing materials, and other executive documents.
- Handle highly confidential business, investment, personnel, legal, Board, and personal information with discretion.
Travel and Logistics
- Coordinate domestic and international business travel, accommodations, transportation, and itineraries.
- Coordinate personal travel, appointments, reservations, and other executive logistics as needed.
- Prepare and reconcile expense reports and travel-related expenses.
- Respond quickly to changing travel plans and other time-sensitive needs.
Required Minimum Qualifications
Education
Graduation from an accredited associate's or four-year degree program.
Experience
- Significant experience providing executive-level administrative support, including direct support of a CEO, CIO, C-suite executive, senior investment professional, principal, partner, or similarly senior leader.
- Experience in investment management, asset management, private equity, investment banking, financial services, professional services, or another high-performance professional environment preferred.
- Experience managing complex calendars, executive travel, meetings, confidential information, and competing priorities.
- Experience working with senior internal and external stakeholders.
- Experience providing both professional and select personal administrative support preferred.
