Job Title: Facilities Coordinator (Maintenance)
Report To: Facilities Manager

Job Summary:
The Facilities Coordinator (Maintenance) is responsible for overseeing day-to-day facility operations, routine building maintenance, technician dispatch, vendor management, and health & safety compliance. This role ensures a safe, efficient, and well-maintained physical work environment for all employees and visitors.
Key Responsibilities:
Technician Delegation & Site Coordination:
- Assign, schedule, and delegate daily maintenance tasks to on-site technicians and maintenance workers.
- Oversee and monitor technician workflows at site to ensure tasks are completed promptly and up to quality standards.
- Act as the primary point of contact for technicians, providing guidance on prioritization and emergency site responses. .
Routine Maintenance & Repairs:
- Perform regular inspections of the premises to identify maintenance needs, safety hazards, or equipment malfunctions.
- Coordinate daily repairs and preventive maintenance for HVAC, electrical, plumbing, security systems, and office equipment.
- Respond promptly to facility work requests and maintenance tickets submitted by staff.
Reporting & Paperwork:
- Prepare and maintain routine maintenance reports, incident logs, and equipment service histories.
- Process work orders, purchase requisitions, invoices, and service sign-off documentation for completed maintenance tasks.
- Document technician attendance, task completion rates, and performance tracking metrics.
Health, Safety, & Compliance
- Ensure compliance with local building codes, fire safety regulations, and workplace occupational safety standards.
- Assist in organizing emergency evacuation drills and maintaining first-aid stations and safety equipment.
Qualifications:
- Diploma or Degree in Facilities Management, Building Services, Engineering, or a related field.
- Minimum 2-4 years of experience in facility maintenance or a related role.
- Basic understanding of building MEP systems (Mechanical, Electrical, Plumbing) and workplace safety standards.
- Familiarity with Computerized Maintenance Management Systems (CMMS) or ticketing tools, alongside MS Office.
- Strong leadership, task delegation, written reporting, problem-solving, and communication skills.
Willing to travel frequently between different sites.
Possess a valid driver’s license and own transport (preferred).
