Description
The Office Assistant and Outreach Specialist will assist the Executive Assistant and the Office and Accreditation Manager with all facets of financial administration for the Department and all payroll and attendance records. Develops and implements community engagement and crime prevention strategies, which includes utilizing social media platforms. Assists with clerical tasks and other programs and projects, as needed.

Primary
File all paperwork for Chief’s office.
Assists in the preparation of the application/hiring process for new officers and all other employees.
Maintains inventory, orders, stocks, manages & distributes all consumable supplies for the Department except ammunition, explosives, & specialty evidentiary supplies.
Maintains Department files and employee files.
Posts approved images and videos to the Department’s social media accounts and monitors information sent to the Department so it can be forwarded to the appropriate individual in a timely manner.
Coordinates crime prevention efforts and works closely with the Crime Analyst to monitor trends in crime that should be brought to the attention of the community.
Serves as the primary contact for those requesting Department members for outreach events.
Monitors progress of assigned programs and projects, maintains records, and provides regular reports and updates, as required.
Other duties as assigned.
Secondary
Assists with the recruiting and hiring efforts of the Department. Assists the Administrative Captain in maintaining files and records pertinent to the hiring processes of the Department.
Prepares all outgoing mail.
Minimum knowledge equivalent to a High school diploma or GED.
Minimum experience equivalent to one year of prior office/clerical experience. Must qualify as a notary public.
Ability to utilize independent problem-solving techniques.
Proficient in Microsoft Word and Excel and ability to learn other programs.
Knowledge of English grammar, spelling, punctuation; ability to perform arithmetic calculations and select appropriate computer formulas.
Ability to meet all Department hiring and retention requirements.
The Office Assistant and Outreach Specialist will perform duties in a modern office environment and occasionally must lift, stoop, climb stairs and move heavy file boxes. May be exposed to stressful situations, such as angry citizens.
The Office Assistant and Outreach Specialist will maintain a positive attitude during frequent contact with Department and other City personnel, other area law enforcement agencies, and members of the public for a variety of purposes. Incumbent must also be capable of interacting with a multiplicity of personalities and temperaments during routine contact with callers requesting to meet with the Chief of Police and requesting information. Ability to safeguard confidential information is vital.
The incumbent will have a working knowledge of the duties of the administrative staff and all other ranks within the Department. The incumbent will relieve the administrative staff of as many routine administrative matters as possible when assigned by another member of the administrative staff.
