Description
Boutique retail real estate advisory and brokerage firm is looking for an Executive Assistant & Office Manager to support their Founder & CEO. This is a high-trust opportunity to become a true right hand to a fast-moving, relationship-driven founder. In this role, you'll own calendar and inbox management, triage what needs her direct attention versus what can be handled by the broader team, and help carve out the focus time she's never been able to find for herself. You'll also run day-to-day office management for a close-knit, growing team, from keeping the space client-ready to organizing team lunches and other culture moments, plus some light personal support. Someone who is proactive, highly communicative, and comfortable building a system that keeps everything on track without needing to be asked twice. Previous experience supporting a founder or executive at a fast-paced startup (or in venture capital) is ideal, and this person should be excited to bring ideas and best practices to the table. This is an in-office role, 4 days/week, based in Manhattan's Flatiron neighborhood, with some flexibility for the right person. 120-150K DOE + health, vision, and dental benefits, discretionary bonus, and generous PTO.
Responsibilities:
- Manage and own the CEO's full calendar, including scheduling, prioritization, and proactively rescheduling as priorities shift throughout the day.
- Take full ownership of email inbox management, triaging priorities and building a system that keeps nothing from falling through the cracks.
- Draft correspondence and communications on the CEO's behalf as trust and rapport are established.
- Coordinate travel arrangements and process expense reports.
- Serve as a gatekeeper and thought partner, distinguishing high-priority items from those that can be delegated to the broader team.
- Own office management responsibilities, including ordering groceries and supplies, coordinating with building management, and keeping shared spaces polished and client-ready.
- Plan and coordinate team lunches, happy hours, and other culture-building initiatives.
- Provide light personal support as needed, including forms, scheduling, and other administrative tasks.
- Support onboarding and HR-related workflows, including documentation and systems access for new hires.
- Assist with light market research and data organization projects as needed.
Qualifications:
- Previous 3+ years of experience supporting a founder, CEO, or senior executive in a fast-paced environment, ideally at a high-growth startup or venture capital firm.
- Exceptional organizational skills and the ability to manage multiple shifting priorities without losing sight of the details.
- Proactive and solutions-oriented, with the instinct to anticipate needs before being asked.
- Strong calendaring skills, with the judgment to assess priorities and make scheduling decisions independently.
- Excellent written and verbal communication skills, with the ability to represent the executive professionally across all channels.
- Systems-oriented and comfortable introducing practical structure and workflows in an environment where the playbook is still being written.
- Confident navigating team dynamics and office politics with tact and professionalism.
- Strong hospitality instincts, with an eye for keeping the office polished and welcoming for clients and guests.
- Tech-savvy and comfortable working in Microsoft Outlook and other productivity platforms; familiarity with AI tools is a plus.
- Polished, professional presence and available to work in-office 4 days per week.
