Job purpose
The Clinical Manager serves as a key leader within the clinical department and acts as the second-in-command to the Office Manager. This position oversees daily clinical operations, supports providers and staff, ensures workflow efficiency, and assists with maintaining a high standard of patient care.
The Clinical Manager is responsible for supervising clinical staff, managing day-to-day clinical needs, supporting employee development, and stepping into clinical or administrative roles as needed to ensure smooth office operations.
Essential Job Functions
Clinical Operations Oversight
- Oversee daily clinical operations and workflow to ensure efficient patient care.
- Provide guidance and support to Medical Assistants, Phone Medical Assistants, and clinical staff.
- Ensure clinical staff follow office policies, procedures, and expectations.
- Monitor daily workflow and assist with resolving operational issues.
- Serve as a resource for staff questions, clinical concerns, and workflow guidance.
- Maintain knowledge of all clinical processes and procedures.
- Perform all duties and responsibilities of Medical Assistants and Phone Medical Assistants as needed to provide coverage.
Provider & Clinical Team Support
- Support providers with daily clinical needs and ensure appropriate staff coverage.
- Assist with provider workflow, procedures, and patient care needs.
- Help coordinate coverage when staff members are out or schedules change.
- Ensure communication between providers and clinical staff remains effective.
- Step in to cover clinical responsibilities, including rooming patients, procedures, lab duties, patient calls, medication requests, and other assigned clinical tasks.
Staff Management & Leadership
- Assist with managing clinical staff performance and daily responsibilities.
- Train, coach, and mentor employees to ensure expectations and workflows are understood.
- Provide feedback and address performance concerns when needed.
- Conduct annual employee performance reviews.
- Support employee growth, development, and accountability.
- Assist with maintaining a positive and professional work environment.
Hiring & Employee Relations
- Post open positions and assist with recruitment efforts.
- Review applications and coordinate interviews.
- Interview candidates and assist with hiring decisions.
- Assist with onboarding and training of new employees.
- Address employee concerns and workplace issues.
- Participate in disciplinary actions and termination processes when necessary.
Office Manager Support
- Act as backup support for the Office Manager when needed.
- Assist with front office operations and administrative needs during Office Manager absences.
- Help coordinate office workflow between clinical and administrative teams.
- Support overall office operations to ensure continuity of care and business operations.
Clinical Quality & Compliance
- Ensure clinical staff follow HIPAA guidelines, safety standards, and office policies.
- Monitor compliance with documentation and clinical procedures.
- Promote accurate charting and timely completion of clinical responsibilities.
- Assist with maintaining quality patient care standards.
- Identify areas for improvement and help implement solutions.
Administrative Responsibilities
- Assist with scheduling, staffing needs, and daily operational decisions.
- Help manage staff assignments and coverage.
- Communicate important updates, changes, and expectations to clinical teams.
- Participate in meetings and leadership discussions as needed.
- Complete reports, documentation, and assigned administrative tasks.
Team & Office Expectations
- Maintain a professional and respectful work environment.
- Lead by example and promote teamwork.
- Communicate effectively with providers, staff, patients, and leadership.
- Follow all safety, compliance, HIPAA, and company policies.
- Assist with additional duties as needed to support clinic operations.
Education/Experience
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Experience in outpatient, urology, or specialty settings.
Working conditions:
This position works in the Urology department of a busy oncology/hematology/radiation clinic. This person will have direct contact with patients on a regular basis.
Physical requirements:
This position requires that the employee be able to stand and walk for up to eight hours a day on most days. This position also requires that the employee be able to lift at least fifty pounds in order to assist patients when necessary.
