Responsibilities:
Act as the main point of contact for managers, clients and other personal within their assigned line of business and/or geography
Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on leaderships behalf
Prepare briefings, agendas and presentation decks as needed
Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
Calendar Management: scheduling, making appointments and prioritizing the most sensitive matters
Calling candidates and scheduling/coordinating interviews based on managers availability
Take minutes during meetings
Book travel and process associated expense reports
Answering phone calls in a polite and professional manner and direct calls to the appropriate person
Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
Act as an office manager by keeping up with office supply inventory
Assist other EA’s as needed on broader corporate events and/or provide backup support to their line of business and/or geography
Qualifications:
Minimum of 5 years of work experience as an Executive Assistant, Personal Assistant or similar role
Strong proficiency in Microsoft Office
Exceptional calendar and time management skills
Experience with utilization and reporting within Salesforce
Excellent verbal and written communications skills
Strong judgement, discretion and confidentiality skills
Bachelor’s degree preferred
PA diploma or certification is a plus
Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
