Job Description Summary
The Human Resources NFWS Student Assistant serves as the front-facing point of contact for the Human Resources office while gaining hands-on HR experience alongside their coursework. This role greets visitors, manages incoming phone calls, supports new-hire onboarding — including collecting and reviewing Form I-9 documentation — and provides general administrative support to the HR team. The role requires strong customer-service skills and a high degree of discretion, since it regularly handles confidential employee information.Job Description
Key Responsibilities
Front Desk & Reception
- Serve as the first point of contact for the HR office — greet visitors, employees, and job candidates in a professional, welcoming manner
- Answer, screen, and route incoming phone calls to the appropriate HR staff member
- Respond to routine questions from employees and applicants about HR processes, directing more complex or sensitive inquiries to the appropriate HR staff member
- Maintain the front office area and manage visitor sign-in procedures as applicable
New Hire & Onboarding Support
- Greet new hires arriving for onboarding and new-hire paperwork appointments
- Collect Form I-9 information from new employees and, once trained, examine original identity and work-authorization documents in person to complete Section 2 as an authorized representative, under HR supervision
- Assist new hires in completing standard onboarding paperwork (benefits forms, direct deposit, policy acknowledgments)
- Scan, file, and route completed employment documents accurately and in accordance with confidentiality requirements
Administrative & Data Support
- Perform data entry and recordkeeping in the HRIS
- Maintain and organize physical and digital personnel files
- Assist with scheduling meetings, interviews, and HR events
- Prepare correspondence, forms, and documents as requested
- Support mailings, copying, and other routine office tasks
Special Projects
- Assist with HR events such as open enrollment, benefits fairs, new-employee orientation, and training sessions
- Support data collection and compilation for HR reporting
- Assist with process-improvement or documentation projects as assigned
- Other duties as assigned
Qualifications
- Currently enrolled in a Saint Leo University program (undergraduate or graduate), in good academic standing, with a Non-Federal Work Study (NFWS) award; enrollment in a Human Resources or Business program preferred
- Interest in human resources, business administration, or a related field of study
- Strong interpersonal and customer-service skills; comfortable serving as the first point of contact for the office
- Professional phone etiquette
- High degree of discretion and demonstrated ability to maintain confidentiality with sensitive employee information
- Strong attention to detail and organizational skills
- Proficiency with Microsoft Office (Word, Excel, Outlook)
- Ability to commit to a consistent weekly schedule of up to 20 hours during business hours
Preferred Qualifications
- Prior office, customer service, or administrative experience
- Coursework or demonstrated interest in HR management or organizational leadership
- Familiarity with HRIS or applicant tracking systems
Training & Compliance
- Will complete Form I-9/E-Verify training before independently handling I-9 documentation
- Will complete confidentiality and sensitive-data handling training given regular exposure to employee personally identifiable information
- May be designated a Campus Security Authority depending on final assigned duties; if so, will complete CSA training per University policy
