Maintenance Operations Coordinator – Accounting & HR

Vanguard Resources, Inc. (VRI) is actively hiring for an organized, detail-oriented Maintenance Operations Coordinator – Accounting & HR to join our team supporting the Maintenance Department at our client site, Olathe Medical Center, part of The University of Kansas Health System.
If you enjoy keeping a busy department organized, juggling competing priorities, and being the heart of the team – the person others can count on to keep things moving, this may be a great fit. This is a uniquely blended role combining accounting, HR/payroll support, recruiting, and day-to-day operations within a hospital maintenance environment. You’ll work closely with site leadership while also serving as an important liaison between the onsite team and VRI’s Corporate Office.
What You’ll Do
- This role is approximately 55% Accounting, 25% Human Resources, and 20% Operations/Administrative Support.
- Accounting & Purchasing
- Process and track invoices, accounts payable, and purchase orders
- Maintain accurate records for department expenditures
- Assist with expense reconciliation and coding
- Process department payments and adjustments
- Order equipment, parts, and department supplies
- Assist with accounting reports and related documentation
- Review financial and contract information as needed
HR, Payroll & Recruiting
- Coordinate employee payroll updates and department payroll processes
- Review and correct timecard and punch discrepancies
- Process payroll-related employee changes and documentation
- Assist employees with benefits questions and enrollment
- Support recruiting from job posting through hire - full life cycle
- Review resumes and coordinate interviews with site leadership
- Assist with candidate outreach and hiring events
- Coordinate the timely onboarding of new employees
- Serve as an onsite resource for VRI HR policies and procedures
- Support performance management, employee relations, and other HR processes in partnership with Corporate HR
- Assist with injury reporting and return-to-work coordination
Operations & Department Support
- Serve as a key support partner—and often the right hand—to the Facilities Director
- Assist with work-order processes and reporting
- Prepare reports for site leadership and the client
- Maintain contract, compliance, and department records
- Coordinate meetings, events, supplies, and department needs
- Gather information from multiple sources and turn it into organized, useful reporting
- Help keep communication flowing between the onsite team and VRI’s Corporate Office

- High school diploma or GED required
- 2–5 years of experience working with accounting, administrative, or business systems preferred
- Experience with invoicing, accounts payable, purchase orders, or related accounting processes
- Strong Microsoft Office skills
- Previous payroll, HR, and/or recruiting experience is helpful
- Experience in a maintenance, mechanical, electrical, manufacturing, or similar operational environment is a plus
- Bilingual Spanish/English skills are helpful, but not required
- Strong written and verbal communication skills
- Excellent organization, follow-through, and attention to detail
- Ability to manage deadlines while working in a fast-paced environment
- Confidence working independently while knowing when to pull others in
- Because this position works within a hospital environment, successful completion of required background, drug, and health screening requirements is necessary.
