Job Summary:

The Operations Coordinator is responsible for overseeing the maintenance, repair, safety, and operation of company facilities and grounds. This role coordinates facility personnel, oversees consultants and vendors, ensures regulatory compliance, and maintains building systems to support safe and efficient business operations. This role leads preventive maintenance activities, facility improvement projects, and workplace safety initiatives while controlling costs and minimizing downtime.

 

Core Duties

  • Coordinate daily facility maintenance and repair activities.
  • Ensure building systems (HVAC, electrical, plumbing, fire protection, lighting, and security systems) are operating effectively.
  • Develop and manage preventive and predictive maintenance programs.
  • Conduct routine inspections of buildings, equipment, and grounds.
  • Coordinate facility repairs to minimize disruption to operations.
  • Select, coordinate, and oversee vendors, consultants, and service providers.
  • Review and approve contractor work to ensure quality and compliance.
  • Obtain quotes and manage service agreements.
  • Monitor vendor performance and expenditures.

Safety and Regulatory Compliance

  • Ensure compliance with OSHA, environmental, fire safety, and local building regulations.
  • Conduct safety inspections and audits.
  • Investigate facility-related incidents and implement corrective actions.
  • Maintain emergency response plans and coordinate drills.

Facility Projects

  • Plan and oversee facility improvement, renovation, and expansion projects.
  • Coordinate office moves, equipment installations, and workspace modifications.
  • Monitor project timelines, budgets, and deliverables.
  • Support capital expenditure planning and implementation.

Budget and Asset Management

  • Assist in developing and managing facility budgets.
  • Monitor maintenance costs and identify cost-saving opportunities.
  • Maintain records of facility assets, maintenance history, and warranties.
  • Track facility-related KPIs and performance metrics.

Basic Qualifications

  • Associate's or Bachelor's degree in Facilities Management, Engineering, Business Administration, or a related field preferred.
  • Equivalent combination of education and experience acceptable.
  • Experience in manufacturing, warehouse, distribution, or industrial environments is highly desirable.
  • Strong knowledge of building systems including HVAC, electrical, plumbing, and fire protection systems.
  • Knowledge of OSHA regulations and workplace safety requirements.
  • Experience coordinating maintenance personnel and contractors.
  • Strong leadership, communication, and problem-solving skills.
  • Ability to prioritize multiple projects and deadlines.
  • Proficiency with Microsoft Office and CMMS (Computerized Maintenance Management Systems).
  • Budget management and cost control experience.
  • Project management skills.
  • Ability to walk throughout facilities and conduct inspections.
  • Ability to climb ladders and access facility equipment.
  • Ability to lift up to 50 pounds occasionally.
  • May be required to work evenings, weekends, or respond to emergency situations.
  • In office full-time

Desired Qualifications

  • 2+ years of supervisory or leadership experience preferred.
