The HR Assistant plays an important role in supporting the day-to-day Human Resources functions of the organization and helping ensure a positive, organized, and efficient employee experience. This position works closely with the HR Manager, employees, supervisors, and other departments throughout the full employment lifecycle—from recruitment and onboarding through benefits, performance management, payroll support, leave administration, personnel records, and separation of employment.
In this position, the HR Assistant supports candidate screening and pre-employment requirements, prepares new-hire documentation, assists with onboarding, and maintains accurate and confidential employee records. The role also supports benefits, leave and attendance administration, performance evaluation tracking, HRIS updates, payroll changes, audits, and other HR processes that help keep the organization running smoothly and in compliance with policy.
This role is ideal for someone who is organized, detail-oriented, dependable, and comfortable managing multiple priorities and confidential information. The HR Assistant serves as a resource for employees and leadership while helping create a supportive and efficient workplace.
Recruitment & Staffing:
· Assists with the review of applications and conduct initial candidate screening.
· Conduct reference and other pre-employment checks as required by policy.
· Prepare new-hire documentation.
New Hire Onboarding & Orientation:
· Assists with scheduling new hires for orientation and training and tracks completion of onboarding tasks
· Ensure completion of form I-9 and other required employment documentation.
· Assists with coordinating background screening, occupational health requirements, and other pre-employment processes required by policy.
Performance Management:
· Track introductory and annual performance evaluations.
· Notify supervisors of upcoming and overdue evaluations.
· Maintain completed evaluations in employee personnel records.
Benefits Administration:
· Assist employees with benefit enrollment
Leave & Attendance Administration:
· Assists HR Manager with employee leaves, including FMLA and workers compensation.
· Coordinate leave information with employees, supervisors, payroll, and benefit administrators.
· Maintain appropriate separation between confidential medical documentation and regular personnel files.
· Monitor compliance with practice attendance and paid-time-off policies.
Personnel Records and HR Information System (HRIS)
· Maintain accurate & confidential employee personnel files.
· Maintain appropriate separate files for confidential medical and leave information.
· Enter & maintain employee information in the HRIS/payroll system.
· Conduct EHR audits
· Maintain required retention schedules for HR records.
Payroll Support:
· Coordinate employee status, compensation, deduction, and benefit changes with payroll.
· Review HR-related payroll changes for accuracy.
· Assist managers and employees with timekeeping and payroll-related questions.
· Communicate new hires, terminations, leave changes, and other employment-status changes to payroll according to policy.
Separation of Employment:
Assist with termination and separation documentation
· Assist with unemployment claims and related documentation.
Requirements
· Associates degree or Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
· Equivalent combination of education and relevant HR experience may be considered.
· Experience with onboarding, leave administration, recruitment, and confidential documentation, preferred.
· Healthcare, physician practice, ambulatory care, or medical-office HR experience strongly preferred.
