Job Title: HR Administrative Assistant
Department: Human Resources
Reports To: Human Resource Manager
FLSA status: Salary Non-exempt
SUMMARY
Provide HR support to the HRBP’s as well as employees.
Occupational Specific Tasks: include the following. Other duties may be assigned.
• Compile employee time, production, and payroll data from time management system and other records.
• Compute and balance wages and deductions, and enter data into computers.
• Process and issue employee paychecks and statements of earnings and deductions; for salary and hourly payrolls.
• Keep track of leave time, such as vacation, personal, and sick leave, for employees.
• Review time sheets, work charts, wage computation, and other information to detect and reconcile payroll discrepancies.
• Issue and record adjustments to pay related to previous errors or retroactive increases.
• Compile statistical reports, statements, and summaries related to pay and benefits accounts, and submit them to appropriate departments and/or third parties.
• Complete, verify, and process forms and documentation for administration of benefits such as pension plans, health and welfare, taxes and any other benefits/deductions.
• Conduct verifications of employment.
• Coordinate special programs, various campaigns that involve payroll deductions.
• Issue and record adjustments to pay related to previous errors or retroactive increases.
• Keep informed about changes in tax and deduction laws that apply to the payroll process.
• Record and conduct verifications of leave time, such as vacation, personal, and sick leave records, for employees and organization.
• Conduct verifications and ensure employees hours, wages, benefits, taxes and other records are posted to appropriate organizational structure; plant, division, department, program and general ledger account.
• Provide information to employees and managers on payroll matters, tax issues, benefit plans, and collective agreement provisions.
• Perform administration functions such as drafting correspondences, scheduling appointments, coordinating events, operating office machines, ordering office supplies, ordering lunches/meals and sorting mail.
• Maintain personnel records, I-9’s, payroll, benefits, and other required records
• Track documents removed from files to ensure that borrowed files are returned.
• Gather documents to be filed from departments or employees.
• Sort or classify information according to guidelines, such as content, purpose, user criteria, or chronological, alphabetical, or numerical order.
• Find and retrieve information from files in response to requests from authorized users.
• Scan or read incoming materials to determine how and where they should be classified or filed.
• Place materials into storage receptacles, such as file cabinets, boxes, bins, or drawers, according to classification and identification information
• May prepare reports for employment records, file employment records, or search employee files and furnish information to authorized persons.
• Maintain highest level of confidentially.
• Other duties as assigned.

EDUCATION AND/OR EXPERIENCE
Associates degree preferred; 3 to 7 years of experience and/or training; or equivalent combination of education and experience. Experience with multiple HRIS/payroll/time management software.
