The Program Manager of Evaluation, under direction, plans, organizes, directs, and manages day-to-day activities, developing and implementing procedures for the administration of evaluation programs under the Office of Evaluation and Assessment.

Responsibilities:
Evaluation Program Management, Troubleshooting, & Reporting
- Plans, organizes, directs and manages day-to-day activities, developing and implementing procedures for the administration of evaluation programs
- Manages evaluations and processes for pre-clerkship, clerkship, and electives, which includes obtaining accurate information related to courses and faculty, to facilitate evaluation processes and document appropriately. This includes, but is not limited to, attending OEA/Academic Affairs meetings, attending course initiation meetings and obtaining accurate information needed to perform processes in the evaluation software, distribute to the appropriate parties, and updating the database with this information
- Manages, schedules, leads meetings, and presents dashboards for pre-clerkship and clerkship course evaluation meetings
- Manages Program Evaluation and Assessment Subcommittee (PEAC) meetings, schedules monthly committee meetings and planning meetings, creates agenda, composes minutes
- Assists with creating evaluation and assessment guidelines
- Manages the course report dashboard process from start to finish, including data collection and distribution, creating schedule and deadlines, monitoring progress, performing quality control and providing feedback, collecting course director summary and update action plans to be incorporated into dashboards
- Assists with ensuring curriculum implementation data is collected through logistics logs; Monitors data submission and follows-up as needed
- Implements routine adjustments to evaluation software and troubleshoots evaluation problems
- Monitors evaluation completion and compliance rates by students and faculty
- Monitors reports in the evaluation software, pulls and distributes reports including requests for faculty evaluation teaching data. Distributes grade summary forms through evaluation software
- Assists with NVIVO coding of qualitative comments for course, clerkship, and end of phase evaluations
- Compiles basic program statistics as requested
- Serves as the primary recipient of and responder to department email
- Resolves tickets in the department ticketing system
- Assists with Virtual Feedback
- Assists with focus groups as needed
- Assists in developing strategic plans, goals, and timelines to support evaluation programs
- Assigns work to student workers as needed
Liaison to Medicine Stakeholders
- Serves as the liaison to academic coordinators and other medicine stakeholders regarding evaluation (Academic Affairs, Student Affairs, faculty, staff, students, etc.)
- Schedules, develops, and conducts programs and training, including evaluation software training, coordinator retreats, course evaluation report meetings, Council for Course Director’s presentations, student orientation
- Assists with the development and production of materials designed for evaluation programs including training materials, handbooks, and presentations
- Maintains and develops communications between stakeholders by attending meetings and conference calls
- Attends Team Leader meetings and provides updates to the Office of Evaluation and Assessment team
- Attends Curriculum Committee and Subcommittee meetings to obtain information relevant to curricular updates and evaluation related information
- Coordinates OEA staff, Course Directors, and Academic Affairs personnel for the scheduling of routine course and clerkship evaluation meetings
- Scheduling, recruitment, communication, and planning of focus groups and other non-routine evaluation tasks and scheduling of other evaluation meetings or tasks as needed
- Assists with organization of all office calendars that serve as the basis for assurance that course, clerkship, and teaching evaluation processes and dashboards are completed in a timely manner
- Maintains accurate program records and databases related to student, faculty, and coordinator information (current coordinators and navigators, current course faculty and student course enrollment)
Project Management & Data Collection
- Provides data for research, attend and submit abstracts/proposals to conferences for presentations
- Responsible for managing and monitoring evaluation content on external and internal websites
- Reviews/proofreads evaluation reports or documents
- Documents OEA products and process changes and major curricular changes
- Updates distribution of evaluation questions mapped to medical education program objectives across pre-clerkship and clerkship courses
- Assists with evaluation and assessment projects as needed
- Performs other duties as assigned
Qualifications:
Required Education and Experience:
- Bachelor’s degree or an equivalent combination of education and experience
- Five years of medical school and higher education work experience working with faculty, staff and students; project coordination, project management, evaluation experience; survey building and distribution. Conducting training and teaching K - 12 experience could also be considered
Knowledge, Skills, and Abilities:
- Knowledge of word processing and spreadsheet applications
- Effective verbal and written communication skills
- Strong interpersonal, leadership, problem solving, and organizational skills
- Maintains attention to detail and utilizes sound judgment
- Ability to multitask and work cooperatively with others
Preferred Qualifications
- Experience in higher education or medical education
- Experience with handling evaluation software
- Experience working with faculty, staff, and students
- Experience coordinating processes and logistics
- Demonstrated ability to prepare and present both written and oral reports
- Experience with quantitative/qualitative analysis
- Ability to explain procedures and policies, communicate, verbal and written, with various levels of staff, students and faculty
- Ability to work with minimal supervision, be energetic, and show initiative (self-starter)
