POSITION SCOPE

The Parts & Procurement Coordinator serves as the central communication and coordination hub between Field Operations, Procurement, Warehouse personnel, vendors, and management. This role is responsible for managing procurement request intake, tracking request status, prioritizing operational needs, maintaining procurement records, and ensuring timely communication throughout the purchasing process. By centralizing request management and status reporting, this position allows Procurement Specialists to focus on sourcing, purchasing, vendor management, and expediting activities that support critical construction, aggregate, and equipment operations.

PRIMARY DUTIES

  • Serve as the primary point of contact for incoming parts, material, and procurement requests from field personnel, supervisors, project managers, mechanics, and operational teams.
  • Manage a high volume of incoming communications and procurement-related requests daily.
  • Create, document, and maintain procurement requests and work orders within department tracking systems and dashboards.
  • Capture and verify required request details including equipment numbers, project information, quantities, priorities, delivery locations, and required completion dates.
  • Review requests for accuracy and completeness and route them to the appropriate Procurement Specialist based on business segment, equipment type, or operational need.
  • Prioritize requests based on equipment downtime, project schedules, operational urgency, and management direction.
  • Maintain current status information for active procurement requests and provide updates to requesting departments.
  • Communicate estimated delivery dates, shipment tracking information, backorders, delays, substitutions, and order status updates.
  • Escalate urgent, delayed, or stalled requests to Procurement Specialists or department leadership as necessary.
  • Track procurement requests from initial intake through completion and verify accurate closeout documentation.
  • Coordinate parts and material pickups, transfers, and deliveries with warehouse personnel, drivers, and field teams.
  • Maintain organized records including quotes, purchase orders, invoices, tracking information, vendor communications, and procurement documentation.
  • Maintain current vendor and supplier contact information and identify potential duplicate requests or communication gaps.
  • Document emergency purchases and after-hours procurement activity.
  • Prepare and distribute procurement status reports for department leadership and operational stakeholders.
  • Assist Procurement Specialists with administrative and reporting responsibilities during periods of high purchasing volume.
  • Maintain effective communication between Field Operations, Procurement, Warehouse personnel, and delivery teams.
  • Promote safety, efficiency, and teamwork across all business operations.
  • Perform other duties as assigned.

REQUIREMENTS

  • High school diploma or GED required; associate degree in business, supply chain, logistics, or related field preferred.
  • Previous experience in procurement coordination, purchasing support, parts administration, inventory control, construction operations, fleet maintenance, or related field preferred.
  • Strong organizational, multitasking, and time-management skills.
  • Ability to prioritize competing demands in a fast-paced operational environment.
  • Excellent verbal and written communication skills.
  • Proficient with Microsoft Office Suite, including Excel, Outlook, and Teams.
  • Experience with purchasing, inventory, ERP, fleet management, or work-order tracking systems preferred.
  • Strong attention to detail and problem-solving abilities.
  • Ability to work effectively with personnel at all organizational levels, vendors, and external partners.
  • Knowledge of heavy equipment, construction, aggregate production, trucking, or fleet operations preferred.
