About the Role
The Patient Care Specialist I is a key front‑office team member responsible for creating a welcoming, efficient, and professional patient experience. This role manages patient registration, insurance verification, payments, scheduling, and essential clerical tasks while maintaining strict HIPAA and privacy compliance. You’ll support smooth patient flow and accurate documentation within the electronic health record (EHR) and collaborate closely with clinical and administrative teams.

Key Responsibilities
Patient Registration & Check‑In
Patient check‑in including greeting, registering, and verifying demographic, insurance, consent, and contact information
Collect and process copayments following standard cash‑handling procedures
Verify insurance eligibility, obtain authorizations, and document results accurately
Provide clear explanations of check‑in steps, insurance requirements, and payment expectations
Scheduling & Communication
Answer and route phone calls with professional customer service
Schedule and reschedule appointments; maintain daily schedules and communicate changes to clinical staff
Process urgent specialist referrals, appointment ticklers, and medical record release requests
Administrative & Clerical Support
Perform filing, faxing, scanning, and uploading documents into the EHR
Review patient accounts for outstanding balances or documentation errors and partner with billing to resolve issues
Prepare, route, and manage medical documentation to ensure accuracy and confidentiality
Compliance & Privacy
Maintain full HIPAA compliance and safeguard patient information
Identify and report potential privacy breaches, compliance risks, or billing concerns
Audit charts, registration data, and referral documentation to correct compliance issues
Participate in required training related to privacy, workflow updates, and patient experience
Operational Support
Coordinate scheduling across multiple providers or departments to support efficient patient flow
Support the Practice Manager and care team with assigned administrative tasks
Participate in workflow redesign initiatives, departmental audits, and implementation of new systems
Prepare and distribute operational reports related to scheduling, registration accuracy, or service metrics
Demonstrate excellent guest service and maintain composure during high‑volume or challenging situations
Qualifications
High school diploma or equivalent
Minimum 1 year of front‑office experience, preferably in a healthcare setting
Excellent customer service skills required
Ability to multitask in a fast‑paced environment
Familiarity with EHR systems; Athena experience a plus
Understanding of HIPAA and privacy standards
