Description
Fast-growing, Series A-backed fintech startup using AI to modernize a massive industry is looking for an Executive Assistant to support their Founder & CEO. This is an exciting time to join: the team has grown quickly to around 60 people and continues to scale fast. In this high-touch role, you'll own calendar and travel management, keep sharp follow-up on meetings and outreach so nothing falls through the cracks, and blend EA and PA support to help keep both the professional and personal sides of the CEO's world running smoothly. Someone who is a career EA with a long tenure at a private equity firm, venture capital firm, investment bank, or fast-growing startup, extremely organized, positive, and comfortable adjusting tone and formality depending on the audience. This is an in-office role, 4 days/week, based in San Francisco, with Wednesdays as a WFH day. 140-190K DOE + full benefits, optional equity, 401k, and unlimited PTO.
Responsibilities:
- Manage a complex, ever-changing calendar and scheduling for the CEO, proactively resolving conflicts and prioritizing what matters most.
- Coordinate all travel arrangements, including last-minute changes.
- Track and follow up on meetings that get rescheduled or outreach that goes quiet, making sure nothing falls off the radar.
- Serve as a trusted partner blending EA and PA support, including occasional personal logistics.
- Bring structure to a fast-moving environment by triaging priorities and keeping the CEO's day organized.
- Adjust communication style and tone appropriately when representing the CEO to a range of stakeholders, from investors to enterprise clients.
- Support occasional team events, offsites, and dinners in partnership with the Office Manager.
- Anticipate needs and proactively problem-solve without requiring significant oversight.
- 5+ years of experience as an Executive Assistant, ideally supporting a Founder, CEO, or senior executive at a private equity firm, venture capital firm, investment bank, or fast-growing startup.
- A genuine career EA who wants to grow and stay in the role long-term, not use it as a stepping stone.
- Exceptional organizational skills and an instinct for staying ahead of a fast-moving calendar.
- Proactive and diligent, with a strong sense of urgency and the follow-through to make sure nothing slips through the cracks.
- Excellent written and verbal communication skills, with the ability to flex tone and formality across a range of stakeholders.
- Positive, friendly, and detail-oriented, with a genuine passion for EA work.
- Comfortable blending EA and PA responsibilities and supporting both the professional and personal sides of an executive's life.
- Proficient with Google Workspace, Slack, Zoom, Notion, and standard scheduling tools; familiarity with AI tools is a plus.
