Description
AI transformation company, backed by major institutional investors, is looking for an Executive Assistant to support their CEO and CTO equally. This is a rare opportunity to be the first dedicated, full-time admin hire for two founders building at the frontier of applied AI, embedding engineering teams inside client companies to bring cutting-edge AI models into the real world. In this role, you'll independently manage two demanding calendars, anticipate conflicts and priorities, and use good judgment to keep both executives moving without needing much context or hand-holding. Someone who is highly driven, decisive, and thrives in ambiguity, comfortable taking a forwarded email with zero context and figuring out the right next step on their own. Genuinely AI-forward candidates (think: built a dashboard, automated a workflow) with the polish to hold their own with senior stakeholders will stand out. This is an in-office role, 4 days/week, based in San Francisco. 140-200K DOE.
Responsibilities:
- Manage and prioritize two active calendars, proactively resolving scheduling conflicts and anticipating needs without explicit direction.
- Triage requests and communications forwarded with little to no context, independently gathering the background needed to determine the right next step.
- Coordinate travel logistics as needed.
- Act as a trusted, discreet partner to two senior executives, exercising sound judgment and maintaining confidentiality at all times.
- Support ad hoc projects and priorities as they arise in a fast-moving, high-growth environment.
- Bring structure and light process improvements to a role that is still being defined.
- Previous 3+ years of experience supporting a founder, CEO, or senior executive in a fast-paced environment, ideally at a high-growth startup.
- Exceptional organizational skills and the ability to manage multiple demanding calendars simultaneously.
- Proactive and solutions-oriented, with genuine comfort operating in ambiguity and minimal direction.
- Strong judgment and decisiveness, with the instinct to make a call and move rather than wait for explicit instruction.
- Excellent written and verbal communication skills, with the professionalism and polish to engage confidently with senior stakeholders.
- Genuine fluency with AI tools and a track record of using them to build real solutions, not just polished output.
- Thrives in fast-moving, still-evolving environments and is excited to help shape a brand-new role.
- Proficient with standard workplace and productivity tools such as Google Workspace, Slack, and calendaring systems.
