Please note this is a part-time, ongoing position at 17.5 hours per week.

About the Role:

Reporting to the Dean’s Office, the Graduate Program Coordinator is responsible for coordinating graduate program operations across recruitment, admissions, academic advising, and program delivery. The role ensures a high-quality student experience while supporting faculty and maintaining compliance with academic policies and standards.

The Graduate Program Coordinator will:

  • Coordinate the administrative delivery and operations of graduate programs, including course scheduling, registration support, academic milestone tracking, grade submission, and key academic processes such as comprehensive examinations, thesis proposals, and defenses, while ensuring compliance, data integrity, and adherence to policies and timelines;
  • Facilitate communication between Graduate Program Directors, supervisors/co-supervisors, and students regarding academic requirements, program milestones, timelines, and progression concerns;
  • Coordinate scholarship, funding, fellowship, bursary, and award processes, including applicant support, submission verification, adjudication activities, ranking meetings, and record maintenance;
  • Contribute to program communications and marketing (e.g., website, social media) in collaboration with internal partners, conduct reviews of program webpages to ensure information is accurate, current and aligned with program needs;
  • Support the end-to-end graduate recruitment and admissions lifecycle, including outreach, presentations, information sessions, applicant advising, application intake, and review, to attract qualified candidates and ensure efficient, compliant admissions processes;
  • Organize applicant profiles and summaries, initiate admission decisions based on Graduate Program Committee recommendations, including offers, applicable offer conditions and funding items, waitlists, rejections and application closures;
  • Monitor application and enrolment activity to support admissions planning, waitlist management, Teaching Assistantship opportunities, and admission closures in alignment with program targets;
  • Provide comprehensive academic advising and proactive student support by interpreting and applying academic regulations, resolving routine academic issues, and promoting student progression, engagement, and timely degree completion;
  • Monitor student progression, performance, engagement, and academic milestones; identify risks to completion, implement or escalate interventions, and use student outcomes data to inform advising and program improvements;
  • Support student engagement, retention, and success through the promotion of professional development and experiential opportunities and by connecting students with appropriate academic and support services; and
  • Build and maintain collaborative relationships with faculty, academic leaders, the Faculty of Graduate Studies & Postdoctoral Affairs (FGSPA), and campus partners to coordinate support for students, exchange information, resolve issues.

This role may occasionally require work outside regular business hours, including evenings or weekends, based on operational needs.

Key Skills and Experience:

  • Knowledge of Faculty of Social Science programs and courses (undergraduate and graduate);
  • Knowledge of academic advising principles, models, and counselling approaches;
  • Understanding of graduate curriculum, course requirements, prerequisites, and scheduling within the Faculty;
  • Awareness and understanding of various collective agreements;
  • Knowledge of privacy legislation (e.g., FIPPA) and the ability to interpret and apply academic policies, regulations, and governance documents.
  • Proficiency with computer systems and software applications;
  • Ability and willingness to learn and adapt to emerging technologies, including AI tools and platforms;
  • Promotes and embodies inclusiveness and respect within the workplace and the broader community;
  • Strong communication and interpersonal skills, including active listening and clear written/verbal communication;
  • Ability to coach, mentor, and motivate students, including identifying risk and making appropriate referrals;
  • Demonstrates empathy, discretion, and professionalism when handling sensitive or confidential situation;
  • Ability to liaise with multiple stakeholders and build effective relationships across the institution;
  • Strong organizational, prioritization, and multitasking skills, with accurate record-keeping practices; and
  • Effective problem-solving skills with the ability to adapt and apply new knowledge quickly.

Preferred or Asset Skills:

  • Administrative and academic advising experience within a graduate education setting;
  • Graduate degree;
  • Comprehensive understanding of University/public sector governance, policies, procedures and culture;
  • Experience networking with community partners and partner development;
  • Research grant writing or review experience; and
  • Data collection and quantitative/qualitative analysis experience.

Salary and Total Rewards:

  • Job Grade K, Salary Scale ($62,115.00 - 99,384.00);
  • Target Hiring Range: $62,115.00 - $65,000* prorated to reflect part-time hours
  • This is a permanent, part-time position that includes:  
  • Health & Dental Benefits: Comprehensive extended health, dental, and vision coverage.
  • Pension Plan: Enrollment eligibility in the Brock University Pension Plan.
  • Vacation: Up to 3 weeks per year, in addition to university holidays.
  • Professional Development: Eligibility for the Brock Tuition Waiver Program.

*The final salary is based on experience, internal equity, and budget considerations within the target hiring range.
