Clinical Operations Manager

We're seeking an experienced Clinical Operations Manager to work closely with senior leadership and lead a team of medical assistants and care coordinators, proactively supporting, developing, and improving processes across the clinical team. This position reports directly to the Director of Operations.

As the Clinical Operations Manager, you will:

• Directly manage a remote team of medical assistants, providing guidance, support, and regular feedback,
• Manage daily operations of clinical staff, including planning, goal setting, and quality assurance,
• Design and improve specific operational processes and guidelines to ensure high clinical quality and service excellence in patient care,
• Collaborate with the leadership and other stakeholders to implement policies and procedures and provide adequate oversight,
• Monitor and improve key performance indicators to measure success and engagement across different teams and with different external partners,
• Participate in hiring, training, and onboarding of new staff,
• Assign and delegate tasks to the medical assistants based on their expertise and workload, ensuring optimal resource utilization,
• Conduct performance evaluations, identify areas for improvement, and provide coaching and training as needed,
• Develop and implement efficient workflows and processes to maximize the quality and efficiency of patient care.

Please apply if you have:

• Experience managing multiple departments or functions, preferably with responsibility for building those departments from the ground up,
• Experience building teams, processes, workflows, and SOPs rather than simply managing an established operation,
• Strong cross-functional management experience and the ability to support multiple departments simultaneously,
• Demonstrated ability to identify operational bottlenecks and implement solutions,
• Experience with resource allocation, staffing, capacity planning, and coverage across teams,
• Strong people-management skills, including coaching managers and individual contributors,
• Ability to work independently and take ownership of problems without requiring significant direction,
• Strong organizational skills and the ability to manage competing priorities,
• Experience using KPIs, metrics, and data to manage team performance and operational efficiency,
• Demonstrated process improvement experience with measurable results,
• 5+ years of experience managing employees, including performance and day-to-day operational oversight in a clinical setting,
• Background in nursing, care management or clinical operations,
• Excellent communication skills,
• Strong organization and project management skills; ability to prioritize, organize, plan, and implement services as well as handle multiple projects/problems simultaneously,
• Desire to work at an early-stage startup and comfort with associated uncertainty and rolling up your sleeves to get things done,
• Proficiency in HIPAA and CMS regulatory requirements,
• BA/BS degree,
• Residence in the US.

Some nice-to-have qualifications include experience in:

• Healthcare or clinical operations,
• Managing support, shared-services, or operational enablement teams,
• Managing a float pool or shared staffing model,
• Scaling multiple departments during rapid growth,
• Implementing technology or automation to improve operational efficiency,
• Working in a startup or rapidly changing organization,
• Creating a new department or operational function from the ground up.
