JOB DESCRIPTION
Summary/Objective
The billing specialist uses administrative and customer relation skills to collect payments from customers. They generally manage customer accounts by recording payments, tracking outstanding balances and researching discrepancies., As our billing specialist, you'll manage everyday transactions for our firm., Responsible for sending invoices, monitor outstanding balances, and ensure each account is paid in full. Oversee numerous client accounts on our network, track the transactions for each one and updating system accordingly.
Essential Functions
- Reviewing financial statements for payment inconsistencies or errors
- Collaborating with customers and team members to resolve billing errors
- Coordinate monthly billing of clients, creating invoices and other billing materials, via multiple client billing platforms.
- Inputting payment history, upcoming payment information and other financial data into the accounting system
- Informing customers of missed or upcoming payment deadlines
- Answering customer questions about billing statements and payment plans
· Billing specialists maintain organized financial records so they can help companies prevent billing errors and resolve disputes quickly. Sends invoices, document outstanding balances and communicate with customers until the company receives payment.
- Keep an accurate record of client accounts and outstanding balances
- Send invoices and account updates to clients electronically and on paper
- Update our system with payment information and other financial data
- Notify clients of upcoming or missed payment deadlines
- Receive, sort, and track incoming payments
- Address our clients' billing questions and issues
- Prepare reports and review billing activity for accuracy
- Uphold our strict client confidentiality policies
Requirements
Required Education and Experience
- Preferred Degree in accounting, business administration, or related field
- 2+ years’ experience in a billing department
· Excellent computer and software skills
· Customer service skills, attention to detail
- Strong communication skills, including writing, speaking and active listening
- Excellent customer service skills to clarify billing disputes or payment processes
- Basic math and accounting skills to document financial records
- Discretion when handling customer data
- Proficiency in using bookkeeping software to process payments.
