- Performs a wide variety of complex and difficult clerical and administrative office support duties in support of an assigned function, including typing, filing, preparing records and monthly reports, creating project files, updating department websites, and preparing and processing invoices.
- Compiles information and data for administrative, statistical, and financial reports; checks data; prepares and assembles reports, manuals, articles, announcements, and other informational materials.
- Maintains accurate and detailed records, verifies accuracy of information, researches discrepancies, and records information.
- Responds to complaints and requests for information; assists in interpreting and applying regulations, policies, procedures, systems, rules, and precedents in response to inquiries and complaints from the public; enters/tracks public calls into appropriate computer databases; direct callers to appropriate City staff as necessary.
- Receives, opens, time stamps, sorts, and distributes incoming and interdepartmental mail; prepares and distributes outgoing mail.
- Maintains and updates departmental record systems and specialized databases; enters and updates information with departmental activity, inventory files, and report summaries; retrieves information from systems and specialized databases as required.
- Maintains calendars and makes meeting arrangements; schedules meetings between City staff and other groups or organizations; arranges for necessary set-up and materials to be available at meetings; arranges for catering.
- Communicates with officials and staff of other departments and agencies to obtain and relay information and to coordinate activities.
- Receives and responds to inquiries, in oral or written form, from the public or other agencies concerning department/division operations.
- May participate in meetings and take/prepare meeting minutes.
- May relieve other department staff during breaks and lunch.
- May be exposed to confidential and privileged information during the course of duties and ensures such is maintained.
- Establishes positive working relationships with representatives of community organizations, State/local agencies and associations, City management and staff, and the public.
- Coordinates activities with other City departments, outside agencies, and organizations.
- Performs other duties as assigned.
Education and Experience:
Any combination of training and experience that would provide the required knowledge, skills, and abilities is qualifying. A typical way to obtain the required qualifications would be:
Equivalent to graduation from high school supplemented by college-level coursework in business administration or a related field and one (1) year of clerical experience equivalent to that of an Office Specialist I in the City of Menifee.
RECRUITMENT PROCESS
Human Resources (HR) reviews all application materials to determine whether candidates meet the established minimum and preferred qualifications. Those who qualify will be advanced to the next stage of the recruitment process. All applicants will receive email notifications regarding their status.

Appraisal Interview
Applicants will participate in an oral interview conducted by a panel of subject matter experts. Evaluations will be based on responses to structured questions specifically designed to assess each candidate’s qualifications and suitability for the position.
Based on the Department's needs, the selection procedures listed above may be modified. All candidates will be notified of any changes in the selection procedure.
Eligible List: Once the appraisal has been completed, HR will establish an eligible list of candidates. Candidates placed on the eligible list may be referred to a selection interview to be considered for present and future vacancies.
- PHYSICAL DEMANDS
Must possess mobility to work in a standard office setting and use standard office equipment, including a computer; vision to read printed materials and a computer screen; and hearing and speech to communicate in person and over the telephone. Acute hearing is required when providing telephone and personal service. Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or calculator and to operate standard office equipment. This is primarily a sedentary office classification although standing and walking between work areas may be required. Positions in this classification occasionally bend, stoop, kneel, reach, push, and pull drawers open and closed to retrieve and file information. Employees must possess the ability to lift, carry, push, and pull materials and objects weighing up to 25 pounds.
ENVIRONMENTAL ELEMENTSEmployees work in an office environment with moderate noise levels, controlled temperature conditions, and no direct exposure to hazardous physical substances. Employees may interact with upset staff and/or public and private representatives in interpreting and enforcing departmental policies and procedures.
