Job Summary
This position is responsible for the leadership and coordination of campus and community engagement programming for Heat Athletics & Recreation with an emphasis on youth sport development, campus and community engagement – including Game Day attendance of targeted community populations and special events coordination/support with a focus on mass-engagement and revenue generation where appropriate.

 

With the extent of campus and community engagement, this position will contribute to the development of an annual event plan and will work in close collaboration with the on-campus and off-campus community partners to plan, organize and promote high-impact, high-quality on-campus and off-campus programs and events.

 

This position will assist in developing and fostering a culture of campus and community engagement and revenue generation within UBCO Heat Athletics & Recreation. Reporting to the Director, Athletics & Recreation Operations, this position works collaboratively with other A&R staff  to strengthen opportunities to engage and benefit current students, student-athletes, alumni, and the community, with enhanced programming and events to build a greater sense of engagement, campus spirit and affinity towards the university.

Organizational Status
This position directly reports to the Director, Athletics & Recreation Operations but makes decision regarding the day-to-day administration of program & event planning, execution and evaluation with various communities and populations. As a member of the Athletics & Recreation staff team, this position will work alongside other department staff, as well as coaching staff, student leaders and varsity athletes to ensure seamless implementation of programs, events, and projects.

Work Performed
Campus and Community Program Coordination

  • Works collaboratively with the Frontline Operations & Program Coordinator, co-leads the management, development and/or enhancement of campus and community partnerships to build and establish fundraising opportunities that will support scholarships, sponsorship or leadership opportunities for varsity, sport club, junior heat or sport club athletes/programs
  • Acts as a campus and community ambassador/liaison for local sport and school groups to build relationships that may lead to current and future participation and engagement opportunities, inclusive of game day attendance, Jr Heat or summer camp and program opportunities and partnerships
  • Supports varsity, community coaches and department staff in the delivery of the Junior Heat and Sport Camp programs, including all areas related to planning, promoting, executing, staffing, evaluating and the evolution of programs, camps, clinics, events, etc. Works closely with coaches to manage budgets for all Junior Heat programs ensuring all programs are operating in a fiscally responsible manner and within UBC Financial Policies & Procedures.
  • Works with coaches and department staff to explore the best options for expansion of Heat Sport Camps and other community programs.

 

Alumni, Campus & Community Engagement

  • Leads and supports in the planning, execution and evaluation of broader alumni engagement initiatives such as the Heat Golf Tournament, Scholarship Breakfast, Homecoming, etc
  • Supports Athletics & Recreation with the growth, development and engagement of their alumni members.
  • Leads the planning and execution of large-scale Athletics & Recreation events that enhance the student experience, build school spirit, promote physical activity, and engage the community to enhance brand recognition in support of the UBCO Heat
  • Leads and oversees all fan engagement operations for varsity game days, ensuring the delivery of a high-quality game day experience that enhances spectator engagement, supports event success, and strengthens community connection and institutional pride.

 

Human Resources:

  • Develops and coordinates personal and professional development strategies for student staff to support learning, leadership growth, and skill development within and beyond the recreation environment.
  • Assists in the development and delivery of training programs, including Leadership, Inclusivity, Health & Safety, and Crisis & Emergency Management.
  • Leads the recruitment, hiring, onboarding, training, scheduling, supervision, and performance evaluation of student staff supporting athletics and recreation programs and events.
  • Supervises part-time student staff during varsity and recreation programs and events
  • Leads the facilitation of ongoing student staff training to ensure high-quality event delivery and a positive student work experience.
  • Management of student staff discipline, including documentation and delivery of verbal, written, and final warnings, and supporting termination processes when required.
  • Oversees area-specific student staff timesheets and payroll submissions.

 

Special Projects

  • Leads special project planning, execution and delivery as set by the  Directors of Athletics & Recreation.
  • Works closely with other campus recreation programmers and partners as required.
  • Leads Canada West and USPORTS Championships events, new and high profile and capacity fundraising events, the Athletic Banquet, Academic All-Canadian Brunch, and the like.

 

Risk Management

  • Serves as advisor and risk manager for all programs and services that are led by the position, including oversight of insurance, contractual obligations, participant conduct, and safety and emergency procedures.
  • Attends events and programs as required.

 

General

  • Serves on campus and community committees where appropriate.
  • Attends meetings and retreats as required.
  • Other duties as assigned.


Consequence of Error/Judgement
The work and decisions of this position will have a direct and critical impact on the reputation and effective operation of the Athletics & Recreation Department. Poor decisions or judgment will result in damage to the Department and the University's reputation with students, staff, faculty and the broader community. Incorrect decisions will affect the University's liability and could have a direct impact on the students and community members involved in programs and activities. Failure to execute responsibilities as assigned to the expected outcome could impact an employee's employment status with the university.

Supervision Received
Works under the general managerial direction of the  Director of Athletics & Recreation Operations. Work is reviewed in terms of overall service level, effective utilization of resources and conformance with policies and guidelines.

Supervision Given
Responsible for direct supervision and the daily oversight of all student staff for all programs within their responsibility. Working with the Director, this position will review and discipline, evaluate and terminate all student staff within their programs where appropriate and according to University policies and procedures.

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of one year of professional experience, or the equivalent combination of education and experience.

Preferred Qualifications

  • Relevant discipline includes Human Kinetics, Physical Education, Business Operations or Events Planning
  • Experience/knowledge of sport and student development is required.
  • Exceptional communications skills, both verbal and written.
  • Proven ability to organize sport/recreation events and coordinate student development programs.
  • Strong organizational and time management skills.
  • Ability to deal with a diversity of people in a calm, respectful, and effective manner.
  • Demonstrated ability to work collaboratively with a variety of different stakeholders.
  • Demonstrated experience and/or training in personal development, conflict resolution, inclusivity, mentorship, and leadership.
  • Valid CPR, First Aid certification and experience managing risk in a sport setting preferred
  • Ability to plan ahead, anticipate problems, and meet deadlines.
  • Self-starter and history of innovation preferred.
  • Must be competent with Microsoft Office products.
  • Ability to work flexible hours, including evenings and weekends and work well in a fast paced, busy and often loud environment.
