Title: Household Manager and Family Assistant

Location: Lewiston, NY 14092

Employment Type: Full-time (30-40 hours per week)

Proposed Start Date: ASAP

Compensation: $25-30/hour based on experience

Requirements:

  • Must be authorized to work in the United States.
  • Able to maintain a smoke-free and vape-free environment.
  • Reliable transportation and a clean driving record required.
  • Current CPR and First Aid certification (or willingness to obtain).
  • Ability to lift up to 50 lbs and navigate multiple flights of stairs.
  • Physical capability to perform tasks requiring bending, carrying, and sustained activity throughout the day.
  • Reliable and available during peak seasons, including Fourth of July, Thanksgiving week and weekend, the week before Christmas and the day after Christmas, and family birthdays.
  • Comfortable and capable of driving in winter weather conditions.
  • Signing of a Non-Disclosure Agreement (NDA) is required prior to the start of employment.
  • Up to date on recommended vaccinations in line with American Academy of Pediatrics and Centers for Disease Control and Prevention guidelines (including COVID-19, flu, and routine immunizations), subject to applicable legal accommodations.
  • Note: Candidates with cats may present a concern due to household allergies.

Proposed Schedule:

  • Flexible core hours between 7:00 AM and 9:00 PM to be determined in advance.
  • Days of the week are also flexible and will be determined collaboratively between the family and candidate.
  • Note: Schedule may shift during peak seasons and travel periods.
  • Consistency and reliability during high-demand times (Fourth of July, Thanksgiving week and weekend, the week before Christmas and the day after Christmas, and family birthdays) are essential.

What Success Looks Like

Success in this role means thinking one step ahead and consistently creating a household and workspace that are fully prepared and organized. Examples include:

  • Lunch ingredients stocked before they are needed
  • Clothes washed, folded, and ready the night before
  • Laundry cycled and put away without reminders
  • Coffee prepared and ready each morning
  • Cars charged and ready to go
  • Inventory and supplies moved between locations proactively
  • Towels clean and properly stocked
  • Kitchens and common areas reset after use
  • Water bottles filled and healthy snacks available
  • High-protein meals prepared for the family
  • Workspaces clean, organized, and equipped with chargers, materials, and supplies ready for the next day
  • Materials or items moved to the appropriate location before they are needed
  • Anticipating tomorrow’s schedule and preparing today

Key Responsibilities:

Household Organization & Maintenance

  • Create and maintain household organization systems throughout the home; everything should have a designated place
  • General pick-up spaces and multiple resets of high-traffic areas throughout the day, including countertops, entryway, and garage
  • Daily light tidying: dishes, wiping surfaces, vacuuming
  • Seasonal swaps for clothing, décor, and bedding
  • Coordinate donation drop-offs and decluttering projects
  • Event, holiday, and guest prep
  • Packing and unpacking for family travel
  • Change batteries, light bulbs, and maintain smoke detectors

Deep Cleaning & Special Projects

  • Occasional deep cleans: fridge, oven, baseboards, and similar tasks
  • Refresh garage, mudroom, and entry areas
  • Organizational projects including closets, pantry, and kids' gear
  • Handle slow periods (e.g. when the family is traveling) as an opportunity for larger projects and deep cleans

Inventory & Errands

  • Restock pantry, fridge, and household supplies
  • Manage running supply lists and recurring household orders (Amazon, Costco, Target)
  • Handle returns, dry cleaning, and gift shopping as needed
  • Mail and package handling: bring in and sort to a designated location
  • Break down boxes for recycling

Meal Support

  • Keep the fridge clean, organized, and well stocked
  • Help with meal planning and ensuring the right ingredients are on hand for family cooking
  • Prep healthy snacks and baked goods (protein balls, muffins, banana bread); kids enjoy being involved in cooking, so assist and clean up rather than replace their participation
  • Prepare components for lunches and weekly snack prep
  • Assemble simple spreads and charcuterie for when the home is used for meetings or gatherings
  • Have ready-to-eat items in hand when the primary parent returns from travel
  • Grocery shopping with a preference for fresh over bulk

Laundry & Linens

  • Wash, fold, and put laundry away correctly by person
  • Linen rotation: bedding and towels
  • Ironing and steaming for events and special occasions as needed
  • Maintain tidy, well-stocked laundry areas

Family Support

  • Occasional school pickups and drop-offs, particularly when the family is traveling
  • Light, backup childcare and supervision as needed for date nights or events
  • Potential help with morning prep flow, snacks, and clothing once the household is up
  • Kid-related errands

Vehicle Upkeep

  • Schedule and track maintenance for the family vehicle
  • Fueling, cleaning, and organizing the family vehicle as needed
  • Track registration and insurance deadlines

Administrative & Personal Assistant Support

  • Travel planning and logistics with a high standard of discretion
  • Support with calendar management including household and kids' activity schedules
  • Appointment coordination: medical, dental, kids' activities, and personal appointments
  • Occasional support for business events and business-related tasks: ordering food for staff, running errands, being an extension of the family's operations as needed

Estate-Level Oversight

  • Virtual coordination and oversight for multiple properties
  • Coordinate maintenance tasks, vendor management, utility tracking, and security deposit administration for rental properties
  • Ensure properties are ready before family arrival; occasional travel to prep a property in advance (if desired and agreed upon)
  • Coordinate with property management companies and vendors as needed
