Job Title: Facility Executive - Soft Services

Role Overview: As a Facility Executive - Soft Services at JLL, you will be responsible for overseeing and managing the day-to-day soft services operations, ensuring smooth functioning of the facility, and maintaining high standards of service delivery for our clients.
Key Responsibilities:
- Facility Operations & Administration
· Conduct daily floor walks and workplace inspections to identify operational issues and ensure service excellence.
· Generate daily, weekly, and monthly reports, trackers, dashboards, and management updates.
· Maintain records of complaints, service requests, inspections, audits, and vendor performance.
· Develop and implement operational procedures to improve service delivery, efficiency, and compliance.
- Housekeeping Management
· Oversee housekeeping services to ensure cleanliness and hygiene standards are maintained across all office spaces, meeting rooms, workstations, reception areas, washrooms, pantries, and common areas.
· Conduct housekeeping audits and inspections to identify improvement opportunities.
· Ensure availability of housekeeping consumables and cleaning materials.
· Coordinate periodic deep cleaning, carpet shampooing, upholstery cleaning, and special cleaning activities.
· Address employee concerns and service requests within defined SLAs.
- Vendor Management & SLA Compliance
· Manage multiple service partners including housekeeping, pest control, horticulture, waste management, parking, and specialised service vendors.
· Monitor vendor manpower deployment, attendance, grooming, and performance.
· Conduct regular vendor reviews and ensure compliance with contractual obligations.
· Track and monitor KPIs, SLAs, productivity levels, and service quality metrics.
· Drive continuous improvement initiatives and implement corrective actions for service gaps.
- Pest Control Management
· Coordinate preventive and reactive pest control programs across the facility.
· Conduct inspections of critical areas such as pantries, childcare facilities, cafés, washrooms, and utility rooms.
· Ensure pest control schedules, service reports, MSDS documentation, and compliance records are maintained.
· Investigate pest-related complaints and coordinate corrective actions with vendors and stakeholders.
- Horticulture & Workplace Aesthetics
· Manage indoor and outdoor landscape maintenance.
· Ensure proper upkeep and replacement of plants, planters, and green walls.
· Coordinate seasonal landscaping improvements and beautification initiatives.
· Monitor vendor performance and plant health across all facility areas.
- Parking Management
· Coordinate employee and visitor parking operations.
· Manage issuance of RFID tags, parking stickers, and access permissions.
· Maintain parking allocation records and utilisation reports.
· Coordinate with landlord and security teams regarding parking requirements, traffic management, and employee queries.
- KPI & SLA Compliance
· Monitor vendor performance against agreed KPIs and SLAs.
· Prepare periodic performance reports, dashboards, and management updates.
· Identify service deficiencies and implement improvement plans.
· Support internal and external audits related to facility operations.
- Consumption & Inventory Tracking
· Track and analyse consumption of housekeeping chemicals, pantry items, restroom consumables, and other facility materials.
· Maintain inventory records and ensure optimum stock levels.
· Identify opportunities for cost optimisation and reduction of wastage.
- Invoice & Financial Management
· Verify vendor invoices against work completion records and contractual obligations.
· Monitor Work Completion Certificates (WCCs) and ensure timely documentation.
- Coordination & Stakeholder Management
· Coordinate with Business Units, Security, HSE, Landlord teams, and external agencies.
· Support employee engagement activities, events, and workplace initiatives.
· Ensure timely communication regarding facility-related updates, maintenance activities, and operational disruptions.
- Reporting & Documentation
· Prepare daily, weekly, and monthly operational reports.
· Maintain accurate records of audits, inspections, vendor performance, complaints, consumptions, invoices, and service requests.
· Use MS Office applications (Excel, PowerPoint, Word, Outlook) for reporting, analysis, presentations, and communication.
- Qualifications and Skills:
· Bachelor’s degree in hospitality management or related field
· Proven experience in facilities management, with a focus on soft services
· Strong leadership and team management skills
· Excellent communication and interpersonal abilities
· Proficiency in MS Office and facilities management software
· Analytical and problem-solving skills
· Knowledge of health and safety regulations and best practices in facility management
· Ability to work flexibly, including after-hours when required
