Position Overview

The Director of Internship Operations & Systems, reporting to the Dean, Internship & Career Center, provides strategic and operational leadership for the systems, processes, technology, data, and assessment infrastructure that support the Internship & Career Center's experiential learning and career initiatives.

The Director is responsible for the effective design, implementation, oversight, and continuous improvement of department-wide internship operations and technology systems. This position serves as the Center's primary leader for technology and operational systems, ensuring that processes are efficient, data is accurate and accessible, systems are effectively utilized, and stakeholders receive appropriate training and support.

The Director works collaboratively with students, faculty, academic leadership, staff, employer partners, internship sites, and institutional offices including Information Technology, the Research Center, and Communications & Marketing. The position leads cross-functional initiatives, develops and maintains operational standards and procedures, analyzes data and outcomes, and makes recommendations to departmental leadership regarding technology, processes, reporting, and continuous improvement.

Through effective operational leadership and data-informed decision-making, the Director helps ensure consistent and high-quality internship processes, meaningful assessment of career and experiential learning outcomes, effective use of technology, and clear communication of Endicott's experiential learning model and student success.

Key Responsibilities

Leadership and oversight of Internship & Career Center technology and systems (40%)

  • Provides strategic leadership and operational oversight for technology systems supporting the Internship & Career Center, including Symplicity/Gulls@Work, Workday, related databases, reporting tools, and other systems used to support internship and experiential learning operations.
  • Serves as the primary departmental liaison with Information Technology, external technology vendors, and other institutional partners regarding system implementation, integration, functionality, data management, and ongoing system support.
  • Leads the implementation, enhancement, and continuous improvement of technology systems and workflows to support the Center's operational and strategic priorities.
  • Oversees the seamless transfer and integration of data between Symplicity/Gulls@Work and Workday, including initial configuration, ongoing data transfers, integrations, and system buildouts.
  • Establishes and maintains standards and processes that promote data accuracy, integrity, security, accessibility, and timely reporting.
  • Leads the development and delivery of technology training for students, faculty, staff, employer partners, and internship host sites. Develops training materials, user guides, FAQs, and other resources to support effective system adoption.
  • Monitors system functionality, identifies opportunities for improvement, and coordinates the resolution of system issues with internal IT staff and external vendors.
  • Evaluates emerging technologies and best practices in career services, experiential education, and higher education operations and makes recommendations regarding technology selection, implementation, renewal, and purchasing.
  • Develops and oversees recurring and ad hoc Workday and Symplicity/Gulls@Work reporting for the Provost, Deans, faculty, and other institutional stakeholders.
  • Maintains required system configurations, credentials, integrations, and API access to ensure reliable registration, data collection, and reporting capabilities.
  • Advises departmental leadership on technology strategy, system capabilities, operational risks, and opportunities to improve efficiency and stakeholder experience.

Leads internship operations, processes, and continuous improvement (40%)

  • Provides leadership and oversight for department-wide internship processes, procedures, policies, timelines, and operational standards.
  • Develops, documents, implements, and continuously improves internship processes to promote consistency, efficiency, accountability, and a high-quality experience for students, faculty, academic leaders, and internship partners.
  • Establishes and maintains standards for internship evaluations, data collection, documentation, and data synthesis in collaboration with relevant stakeholders.
  • Communicates key internship dates, requirements, processes, and timelines to Internship Faculty, Academic Deans, and other stakeholders and monitors student progress toward completion.
  • Coordinates cross-functional processes with Information Technology, the Research Center, Communications & Marketing, academic departments, and other institutional partners related to internship proposals, graduate surveys, employer evaluations, student outcomes, and reporting.
  • Serves as a central operational resource for Internship Faculty and Academic Deans, providing guidance on processes, systems, data, timelines, and related operational matters.
  • Identifies operational challenges and opportunities and develops recommendations to improve processes, technology utilization, communication, and stakeholder experience.
  • Oversees the accuracy and effectiveness of information related to Internship & Career Center processes, policies, and resources across the Endicott website, internship database and search engine, Gulls@Work end-user FAQ site, and Internship & Career Center Hub.
  • Leads coordination with Communications & Marketing to identify internship sites, students, and outcomes appropriate for website content, marketing features, and institutional communications.
  • Collaborates with the Research Center to analyze supervisor evaluation data and identify trends, gaps, and opportunities that can inform departments, schools, and academic leadership.
  • Collaborates with Communications & Marketing to translate internship and career outcomes data into reports, graphics, and other materials that communicate the impact of Endicott's experiential learning model.
  • Leads or contributes to cross-functional projects and process-improvement initiatives that advance the strategic priorities of the Internship & Career Center.

Leads operational assessment, data analysis, and outcomes reporting (20%)

  • Provides operational leadership for assessment initiatives that evaluate the effectiveness, reach, and outcomes of Internship & Career Center programs and services.
  • Collaborates with the Director of Assessment and departmental leadership to establish assessment processes, goals, measures, and reporting practices aligned with departmental and institutional priorities.
  • Leads the administration, data collection, analysis, and reporting associated with the annual career outcomes survey for internal and external stakeholders.
  • Uses reporting capabilities within department technology systems to analyze participation, engagement, and utilization data, including demographic information, to evaluate outreach and marketing efforts and identify opportunities to increase engagement among underrepresented student populations.
  • Develops reports and data summaries that provide actionable insights to departmental and academic leadership.
  • Identifies trends and opportunities in internship participation, career outcomes, technology utilization, and student engagement and makes recommendations for process or program improvements.
  • Maintains appropriate documentation and reporting practices to support institutional assessment, strategic planning, accreditation, and other internal or external reporting needs.
  • Other duties as assigned.

Leadership and Collaboration

  • Serves as a departmental leader and subject matter expert in internship operations, technology systems, data management, reporting, and operational assessment.
  • Builds effective working relationships across academic and administrative units and represents the Internship & Career Center in relevant institutional initiatives and projects.
  • Leads meetings, projects, training initiatives, and cross-functional working groups as assigned.
  • Communicates complex operational, technological, and data-related information clearly to technical and non-technical audiences.
  • Provides guidance and recommendations to the Dean and other departmental and academic leaders regarding operational priorities, systems, processes, and continuous improvement.
  • Promotes a culture of continuous improvement, collaboration, accountability, and data-informed decision-making.

Qualifications and Skills

  • Bachelor's degree required; Master's degree preferred.
  • Five or more years of progressively responsible professional experience in operations, technology systems, career services, experiential education, higher education administration, assessment, data management, or a related field.
  • Demonstrated experience leading complex operational processes, projects, or cross-functional initiatives.
  • Demonstrated experience managing or providing functional leadership for technology systems, databases, integrations, or enterprise applications.
  • Experience analyzing data and developing reports, dashboards, or other materials that support organizational decision-making.
  • Demonstrated ability to develop, implement, document, and improve policies, procedures, workflows, and operational standards.
  • Experience working collaboratively with multiple internal and external stakeholders, including academic leaders, faculty, staff, technology partners, and vendors.
  • Strong analytical, organizational, project management, and problem-solving skills.
  • Strong written, verbal, and interpersonal communication skills, with the ability to communicate effectively with technical and non-technical audiences.
  • Demonstrated ability to manage multiple priorities, meet deadlines, and work effectively in a complex, collaborative environment.
  • Familiarity with technology and systems used in career services, experiential education, internship management, or higher education preferred.
  • Experience with Symplicity/Gulls@Work, Workday, survey platforms, data reporting tools, or comparable systems preferred.
  • Commitment to supporting student success, experiential learning, career development, and inclusive access to institutional resources.

In compliance with Massachusetts pay transparency law, the annual base salary range for this position is $85,000.00- $ 95,000.00 . Endicott College considers factors such as (but not limited to) the scope and responsibilities of the position, relevant work experience, education, specialized skills, internal equity, and external market data when extending an offer. The final salary is determined by the Human Resources Office based on these factors. This range reflects base salary only and does not include benefits or other compensation.
