JOB OVERVIEW
We are looking for a detail-oriented HR Intern to help organize and clean up our existing digital HR records in SharePoint. A key part of this role will be reviewing large, multi-document PDF files, separating them into individual employee documents, and filing each document correctly according to our defined HR filing structure.
ABOUT THE ROLE- Review existing HR files currently stored in SharePoint, including large and lengthy PDF files containing multiple documents.
- Carefully review the contents of each PDF and identify individual documents within the file.
- Split large PDF files into separate, clearly identifiable documents based on document type.
- Rename documents according to the organization's defined file naming conventions.
- File/move each document into the correct SharePoint e-folder using the established HR filing structure.
- Ensure documents are filed under the correct employee and document category.
- Review existing folders and identify misfiled, duplicate, incorrectly named, or incomplete documents.
- Perform basic HR data cleaning by identifying inconsistencies between documents, employee records, and the HRIS.
- Maintain a high level of accuracy and attention to detail, particularly when handling employee-sensitive information.
- Flag unclear, missing, or potentially incorrect documents/data for review by the HR team rather than making assumptions.
- Maintain confidentiality when handling employee records and personal information
- Bachelor’s degree in Human Resources or a related field, or currently pursuing a Bachelor’s degree in Human Resources. Final-year students and recent MBA-HR graduates are encouraged to apply.
- Strong attention to detail and patience when working through large volumes of documents.
- Good organizational and file-management skills.
- Comfortable working with PDF files, SharePoint, folders, Excel/Google Sheets and basic HR systems.
- Ability to follow a predefined filing structure.
- Open to learning HR processes, SharePoint, HRIS systems, and document-management practices.
