What this job involves:
As a Planner/Scheduler at JLL, you'll serve as the strategic orchestrator of maintenance operations, ensuring seamless coordination between reactive repairs, preventive maintenance programs, and capital improvement projects. This role demands a detail-oriented professional who can balance competing priorities while maintaining operational efficiency across complex facility portfolios. You'll work closely with maintenance teams, vendors, contractors, and client stakeholders to develop comprehensive schedules that minimize downtime and maximize asset performance. What your day-to-day will look like:
Develop and maintain comprehensive maintenance schedules for preventive, corrective, and predictive maintenance activities across assigned facilities
Coordinate work order planning by evaluating scope, estimating labor hours, identifying required materials, and determining optimal scheduling windows to minimize operational disruption
Collaborate with maintenance technicians, engineering teams, and external contractors to ensure proper resource allocation and adherence to established timelines
Monitor work order backlog and schedule compliance, proactively identifying potential bottlenecks and implementing corrective actions to maintain service level agreements
Utilize CMMS (Computerized Maintenance Management System) platforms to track work order status, generate performance reports, and analyze maintenance trends
Conduct regular planning meetings with stakeholders to review upcoming maintenance activities, discuss resource requirements, and address scheduling conflicts
Coordinate shutdowns and outages for critical equipment, developing detailed execution plans that account for dependencies, safety protocols, and business continuity requirements
Maintain accurate documentation of maintenance schedules, work histories, and equipment records to support compliance audits and continuous improvement initiatives
Analyze maintenance data to identify opportunities for schedule optimization, cost reduction, and improved equipment reliability
Required qualifications:
Bachelor's degree in Engineering, Facilities Management, Business Administration, or related field, or equivalent combination of education and experience
Minimum 3-5 years of experience in maintenance planning, scheduling, or facilities operations in commercial real estate, industrial, or institutional environments
Proficiency with CMMS platforms (e.g., Maximo, SAP, JD Edwards, or similar systems) and demonstrated ability to leverage technology for planning optimization
Strong understanding of preventive and predictive maintenance strategies, work order management, and asset lifecycle principles
Excellent organizational and time management skills with proven ability to manage multiple competing priorities simultaneously
Advanced proficiency in Microsoft Office Suite, particularly Excel for data analysis and reporting
Strong written and verbal communication skills with ability to collaborate effectively across diverse teams and stakeholder groups
Knowledge of safety regulations, industry standards, and best practices related to facility maintenance operations
Preferred qualifications:
Professional certification such as Certified Maintenance and Reliability Professional (CMRP), Project Management Professional (PMP), or equivalent credentials
Experience with enterprise asset management platforms and integration with building automation systems
Background in critical environment facilities (data centers, healthcare, life sciences, or mission-critical operations)
Demonstrated experience implementing or optimizing maintenance planning processes that improved schedule compliance or reduced operational costs
Familiarity with lean principles, continuous improvement methodologies, and root cause analysis techniques
Experience working in client-facing roles within third-party facility management or property services organizations
