Key Responsibilities

CBC Sports is seeking an Administrative Specialist - CBC Sports Project Coordination and Deliverables Management to lead the administrative, financial, and logistical lifecycle of our creative and production projects. In this pivotal role, you will serve as the operational backbone for our creative efforts, ensuring that high-quality visual assets, set designs, and brand elements are coordinated, finalized, and delivered on time for broadcast and digital deadlines.

You will manage critical project workflows, oversee contracts and departmental billing, and optimize creative staff schedules to keep our dynamic sports programming running seamlessly

Project Coordination & Deliverables Management

The position coordinates the administrative and logistical lifecycle of various projects to ensure high-quality standards and timely release:

  • Creation & Execution of Deliverables: Coordinate and track the creation, review, and final execution of creative deliverables (including graphic assets, set elements, and brand versions) across various projects to ensure strict alignment with client specifications and broadcast/digital deadlines.

  • Workflow Scheduling & Planning: Liaise with internal and external stakeholders (such as internal Sports Production, Marketing, Creative Services, Media teams, and external vendors) to establish and maintain comprehensive process schedules, project milestones, and work-back plans.

  • Asset & Deliverable Storage: Develop, implement, and maintain systematic storage, filing, and digital archiving protocols for all final project deliverables. Ensure assets are coded correctly, easily retrievable, and securely stored in corporate databases for future use and reference.

  • RFP Support for Creative Services: Provide comprehensive administrative and logistical support during Request for Proposals (RFP) processes, specifically focusing on set design and wardrobe procurement. Assist in compiling specifications, coordinating stakeholder inquiries, and organizing review panels.

Contract Lifecycle & Financial Administration

Assist and Coordinate standard documentation, contract administration, and financial processing in compliance with CBC policies and departmental budgets:

  • Contract Creation & Execution: Coordinate, review, and process standard individual contracts and creative agreements using established corporate templates. Coordinate with external contractors, artists, and vendors to ensure proper completion.

  • Status & Execution Tracking: Actively track the lifecycle, status, approval progress, and final execution of all contracts and purchase agreements. Maintain comprehensive records of active, pending, and completed agreements.

  • Financial Administration & Reconciliation: Receive, examine, and coordinate payments and invoices for creative services and materials. Assist in reconciling departmental financial reports, activity logs, and expense sheets to identify and resolve discrepancies,


 

Resource & Staff Scheduling

Responsible for the optimization of human resources to meet design and creative demands:

  • Staff Scheduling: Analyze employee availability, skills, and leave requests against short and long-range production priorities to develop, post, and distribute employee work schedules using scheduling software (e.g., ScheduALL or equivalent systems).

  • Collective Agreement Compliance: Ensure all staff scheduling, overtime allocations, and shift changes strictly adhere to relevant collective agreements, labor regulations, and CBC corporate policies.

Qualifications, Experience & Skills

  • Education: Graduation from a Community College (or equivalent qualification) preferably in Business Administration, Radio/Television Production, Creative Design, or a related field.

  • Related Experience: Minimum of three (3) years of experience in a creative design, media, or television production environment (either inside or outside the CBC, such as within an advertising agency or design house). At least one (1) year of this experience must relate directly to creative/design coordination.

  • Google Suites Proficiency: High level of proficiency and hands-on experience using Google Suites (including Google Docs, Google Sheets, Google Slides, and Google Drive) to manage team documents, trackers, spreadsheets, and collaborative resources.

  • Adobe Applications Proficiency: Demonstrated proficiency in Adobe Creative Cloud tools and Adobe Acrobat for reviewing, handling, and coordinating creative assets, digital mockups, and deliverable packages.

  • System Experience: Solid experience working with advanced Project Management platforms (such as WorkFront or equivalent creative-focused tracking systems).

  • Bilingualism: Bilingualism (English and French) is considered helpful but not essential.

  • Communication Skills: Excellent interpersonal and communication skills (both written and verbal) to build strong, collaborative relationships with diverse internal and external stakeholders.

  • Work Management: Strong organizational and prioritization skills with a proven ability to work under pressure, manage budgets, track concurrent project lifecycles, and meet strict deadlines.
