Job Summary and Responsibilities
As our Document Control Coordinator, you will collaborate directly with document owners to ensure the timely completion and submission of all policies, procedures, and forms, guaranteeing compliance with regulatory, regional, state, and federal standards.Every day you will provide essential support for the organization's electronic and process-related policy management needs. You will also offer dedicated policy management support to leaders and employees in assigned state(s).To be successful in this role, you will demonstrate exceptional organizational skills, a meticulous attention to detail regarding regulatory compliance, and a collaborative approach to supporting document owners and leadership in policy management.
- Serves as the VMFH system administrator for the PolicyStat document management software application; provides the first line of user support; maintains up-to-date knowledge of software environment and functionality.
- Sets up, maintains and troubleshoots user profiles and access privileges per established protocols, maintains network permissions, changes passwords, assigns proxies and assists users with system lockouts and frozen computers.
- Answers questions, explains overall software functionality and specific features/elements relating to user roles/permissions and documentation development, workflow, review/approval and access as necessary to ensure functionality and procedures are understood and to minimize errors.
- Keeps users current when new software guidelines and/or functionality becomes available; solicits user feedback to identify common problems and develop timely and effective process improvements.
- Maintains current knowledge of overall functionality of, and current processes/procedures relating to, telephonic systems sufficient to explain significant aspects and available capabilities to users.

- Two years of related general office work experience that would demonstrate attainment of the requisite job knowledge/abilities.
