Description
Shipping Co-ordinator
Location: Milton Keynes
Hours: Monday to Friday, full-time
Salary: £Highly competitive DOE
The Opportunity
Are you an organised, analytical logistics professional who enjoys keeping shipments moving, solving problems and finding smarter ways of working? Have you started using AI tools in your day-to-day work and are keen to explore how technology can improve efficiency and operational performance?
We’re working with a growing organisation in Milton Keynes that is looking for an experienced Shipping Co-ordinator to join its busy operations team.
This is an opportunity for someone who understands that effective shipping involves much more than booking a carrier. You’ll take ownership of outbound shipments, coordinate transport providers, resolve delivery issues and ensure customer orders leave accurately, on time and with the correct documentation.
The business is also keen to embrace new technology and smarter working practices. We’re particularly interested in someone who has used AI tools in a professional environment and is enthusiastic about continuing to develop their knowledge and apply AI in practical, responsible ways. Whether you’ve used AI to support reporting, analyse information, improve documentation, streamline administrative tasks or identify process improvements, we’d love to hear how you’ve put it to use.
You don’t need to be an AI specialist or technical expert. What matters is curiosity, initiative and a genuine interest in finding better ways to work.
What You’ll Be Doing
You’ll play a key role in the day-to-day shipping and dispatch operation, taking responsibility for:
- Co-ordinating outbound shipments and ensuring customer orders are dispatched accurately and on time.
- Booking and managing transport with courier, pallet and freight providers.
- Preparing shipping documentation, delivery paperwork and other relevant records.
- Working closely with warehouse, operations, customer service and other internal teams to ensure smooth order fulfilment.
- Managing multiple shipments and competing priorities in a fast-paced environment.
- Monitoring shipping activity and investigating delays, errors, discrepancies and delivery issues.
- Analysing operational data and reports to identify trends, recurring issues and opportunities for improvement.
- Supporting carrier performance management through KPIs, SLAs and service reviews.
- Maintaining accurate stock movements, shipment records and inventory information.
- Investigating root causes and implementing practical solutions to prevent problems from recurring.
- Identifying opportunities to improve customer service, operational efficiency and cost control.
- Exploring how AI tools and digital solutions could support reporting, data analysis, administration and process improvement.
- Contributing ideas for smarter workflows, reducing repetitive tasks and improving the quality and consistency of information.
- Ensuring all activities comply with company procedures, relevant shipping requirements and health and safety standards.
AI, Technology & Continuous Improvement
We’re looking for someone who is comfortable embracing new technology and wants to build on their experience using AI in the workplace.
You might already have used tools such as ChatGPT, Microsoft Copilot or similar AI applications to help with tasks such as:
- Summarising information and producing reports.
- Analysing data and identifying patterns or discrepancies.
- Improving written communication and documentation.
- Streamlining repetitive administrative tasks.
- Supporting Excel work, formulas or data organisation.
- Generating ideas and identifying opportunities to improve existing processes.
Experience in these areas would be beneficial, but we’re equally interested in someone who has taken the initiative to explore AI tools, understands the importance of checking outputs for accuracy and is keen to continue learning.
The important thing is that you see technology as a practical way to work more effectively, rather than simply another system to learn.
What We’re Looking For
You’ll ideally have previous experience in a role such as Shipping Co-ordinator, Logistics Co-ordinator, Dispatch Co-ordinator or Transport Co-ordinator, within a warehouse, manufacturing, distribution or logistics environment.
You’ll also bring:
- Experience using a WMS, TMS, ERP system or similar operational software.
- A good understanding of shipping, dispatch, transport and warehouse processes.
- Experience preparing shipping and transport documentation.
- Strong Microsoft Office skills, particularly Excel.
- Experience using AI tools in the workplace, with a genuine interest in developing this further.
- Good numerical, analytical and problem-solving abilities.
- Excellent attention to detail and a methodical approach to work.
- Strong organisational and planning skills.
- The ability to prioritise workloads and manage competing demands.
- Clear written and verbal communication skills.
- A proactive approach to resolving issues and improving processes.
- GCSEs or equivalent in English and Maths.
The Person We’re Looking For
You don’t need to be the loudest person in the room, but you do need to be someone who takes ownership, follows things through and looks for solutions.
You’ll be naturally organised, comfortable working with data and able to remain calm when priorities change. You’ll investigate problems rather than simply passing them on, and you’ll be confident suggesting improvements when you see a better way of doing something.
We’re particularly interested in someone who is:
- Analytical and logical – able to interpret information, spot discrepancies and make informed decisions.
- Proactive and solution-focused – takes initiative and follows issues through to resolution.
- Curious about technology – has used AI at work and is keen to explore new applications.
- Open to change – embraces new systems, ideas and ways of working.
- Customer-focused – understands the importance of accurate, timely deliveries.
- Organised and dependable – manages multiple priorities without losing attention to detail.
- Calm under pressure – adapts when plans change or unexpected problems arise.
- Personally accountable – takes responsibility for the quality and accuracy of their work.
- A collaborative team player – builds effective relationships across departments and with external partners.
- Committed to continuous improvement – looks for practical ways to save time, improve accuracy and deliver better results.
Desirable Experience
It would be advantageous, although not essential, to have experience with:
- Export, import and customs documentation.
- Courier, pallet and freight networks.
- Carrier performance monitoring, KPIs and SLAs.
- Advanced Excel, including Pivot Tables and XLOOKUP/VLOOKUP.
- Lean principles or continuous improvement initiatives.
- AI-enabled productivity tools, workflow automation or digital process improvement.
- A qualification in Logistics or Supply Chain Management.
- Lean, Six Sigma or other continuous improvement training.
What’s on Offer?
This is an opportunity to join a growing organisation where your experience, ideas and willingness to embrace new technology can make a genuine difference.
You’ll have the opportunity to take ownership of the shipping operation, build strong relationships with internal teams and external logistics partners, and contribute to improvements in service, efficiency and cost control.
The business is keen to hear from people who not only understand the importance of getting the day-to-day operation right, but who are also interested in how AI and technology can help the business work smarter in the future.
