The Global Asia Research Centre (GARC) is a research centre within the College of Humanities, Arts and Social Sciences (CoHASS), Nanyang Technological University, Singapore. This is a joint appointment between the Global Asia Research Centre and the Mining Mineral Life project, housed at the Nanyang Environment and Water Research Institute (NEWRI). The Project Officer will contribute to the management and delivery of programs in the Global Asia Research Centre and the Mining Mineral Life: Extracting the Energy Transition in Southeast Asia research project. The role will be divided 60% on the Global Asia Research Centre and 40% on Mining Mineral Life. The role will be essential to the delivery of world class research programs and impact activities including organizing international conferences, seminars, fieldwork logistics.

 

At GARC, the candidate will join a team of the Director, the Deputy Director, and multiple Early Career Fellows. The centre also hosts Visiting Fellows and Visiting Professors.

 

On the Mining Mineral Life side, the candidate will join a team including the PI, two Research Fellows, and one PhD student. The team will also collaborate with artists and graphic designers on a program of scholarly and public facing artistic impact projects. 

 

Key Responsibilities:


  • Coordinate the planning and execution of conferences, workshops, seminars, lectures, and other Centre-related events.
  • Liaise with internal and external stakeholders to confirm event requirements, budgets, timelines, and deliverables.
  • Manage venue bookings, travel arrangements, accommodation, transportation, catering, and other logistical requirements.
  • Administer event registration platforms and maintain participant databases.
  • Coordinate the preparation and dissemination of invitations, publicity materials, event websites, and email communications.
  • Monitor project and event budgets, process procurement requests, and support financial administration activities.
  • Liaise with vendors and service providers, including caterers, transport providers, photographers, and accommodation providers.
  • Coordinate event setup, onsite operations, attendee registration, and troubleshoot operational issues during events.
  • Manage photography, videography, and event recording arrangements where required.
  • Prepare post-event reports, maintain project documentation, and support reimbursement and claims processing.
  • Support website content updates and post-event publicity activities.
  • Undertake other administrative and project-related duties as assigned.
  • Assist in the delivery of international conferences at NTU and elsewhere by liaising with participants, facilitating travel arrangements, booking of rooms and spaces at NTU and beyond. Helping to facilitate during events, manage and arrange catering and other essential bookings.
  • Assist with hiring and onboarding of new research staff and PhD students.
  • Assist with fieldwork logistics for research team, including flights, accommodation, visa applications, budgeting, monitoring project accounts, facilitate local and overseas payments.

 

Job Requirements:


Educational Qualifications

  • Bachelor's degree in Business Administration, Communications, Event Management, Project Management, Public Administration, Social Sciences, Humanities, or a related discipline.

 

Experience

  • Experience in project coordination, event management, programme administration, or a related field is preferred.
  • Experience in higher education, research administration, or academic environments would be advantageous.

 

Skills and Competencies

  • Strong organisational and project coordination skills.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Strong written and verbal communication skills.
  • Excellent stakeholder management and interpersonal skills.
  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Strong attention to detail and problem-solving abilities.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Experience with event management systems, website content management, or procurement platforms would be advantageous.
