Position Overview
The Loan Closer manages transactions from approved deal to funded acquisition — preparing and reviewing closing documentation, perfecting liens, and coordinating disbursement — while also owning the accuracy of that transaction's data as it moves through Armada's origination and CRM systems. This role blends traditional closing skill (documentation, compliance, funding mechanics) with an operational, systems-minded approach: the Loan Closer is expected to work fluently inside the platforms that drive the closing workflow, flag breakdowns in the process, and help keep the CRM and origination system a reliable source of truth as transaction volume grows.
Key Responsibilities
Closing Coordination & Documentation
- Prepare, review, and assemble closing packages — loan/lease and security agreements, guaranties, closing checklists, and disclosures — for accuracy and completeness ahead of funding.
- Verify that closing documents match approved terms, equipment/collateral descriptions, and underwriting conditions.
- Coordinate directly with sales/relationship staff, underwriting, lenders or capital partners, clients, and outside counsel or title agents to keep each transaction moving to close on schedule.
- Manage multiple closings concurrently, tracking deadlines and proactively resolving documentation gaps or stipulations.
Lien Perfection, Compliance & Funding
- Prepare and file UCC-1 financing statements and other lien-perfection filings, and confirm lien position prior to funding.
- Apply correct lease/loan classification and structure requirements to each transaction type.
- Prepare funding instructions and disbursement paperwork, and coordinate wire/funding timing with capital partners and internal finance staff.
- Maintain compliance with applicable state licensure, lender, and investor requirements throughout the closing process.
Workflow & CRM Ownership
- Own the closing stage of the origination workflow end-to-end, ensuring each transaction is accurately staged, statused, and documented as it moves through the system.
- Maintain clean, complete, and current deal data in the CRM, including hand-offs from sales and underwriting and hand-offs to post-closing/funding.
- Identify workflow bottlenecks or data gaps between systems and escalate or help design fixes in partnership with the operations/technology team.
- Use document automation and e-signature tools to generate, route, and execute closing documents efficiently.
Quality Control & Reporting
- Maintain organized, audit-ready closing files and support internal or lender audits/reviews as needed.
- Track closing pipeline status and cycle-time metrics, surfacing trends or recurring issues to the Financial Controller.
- Contribute to process documentation and training materials as closing workflows are standardized or updated.
Platforms & Systems
This is a hands-on, systems-driven role. Day-to-day proficiency is expected in:
- Loan/lease origination and closing workflow system
- CRM and deal tracking (Salesforce or similar)
- DocuSign / Nintex (e-signature and document automation)
- Wolters Kluwer eVault / Lien Solutions (UCC filing and lien perfection)
- Equifax / PayNet (credit and payment data)
- Box, Google Workspace, and Microsoft Office
Qualifications & Experience
- 3+ years of experience closing commercial loans or leases — equipment finance, asset-based lending, or similar specialty finance preferred.
- Working knowledge of UCC filings/lien perfection, lease vs. loan classification, and standard commercial closing documentation.
- Hands-on comfort with a loan/lease origination system and CRM (Salesforce or similar), with the instinct to keep workflow data clean and complete rather than just "get the deal closed."
- Familiarity with e-signature and document automation tools (DocuSign, Nintex, or comparable platforms).
- Highly organized and detail-oriented, with the ability to manage multiple concurrent closings under deadline pressure.
- Strong written and verbal communication skills for coordinating across sales, underwriting, capital partners, and clients.
