About the Job: The City of Colorado Springs is seeking an Administrative Assistant II to join the Public Works, Operations and Maintenance Division. As an Administrative Assistant II, you will be responsible for performing a variety of customer service, clerical, and administrative tasks in support of the Operations and Maintenance Division.
Work Schedule: Monday - Friday; 6:30am - 3:00pm. This is an in-person position without a remote/telework option.
Work Location: Public Works Division's Fontanero Complex

As an Administrative Assistant II, you will:- Provide comprehensive information and assistance to the public regarding the Municipal Separate Storm Sewer System (MS4) and Permanent Control Measures (PCM).
- Accurately enter pertinent information into a database for complaints, commendations, and inquiries received from various sources.
- Execute a range of secretarial, complex clerical, and accounting clerical duties in support of the assigned drainage teams.
- Intake, categorize, and submit visa and invoice receipts for budgeting purposes in an organized manner.
- Perform data entry of daily tasks into the Cartegraph Database system with precision and accuracy.
- Direct inquiries to the appropriate departments as necessary.
- Generate a variety of reports, memoranda, and correspondence as required.
- Collaborate with other departments, including dispatchers and supervisors, to effectively address citizen inquiries.
- Review and respond to citizen requests, ensuring prompt investigation of complaints and issues.
- Uphold standards of courtesy, professionalism, and promptness in all interactions with the public.
- Provide back-up support to other office staff within Operations and Maintenance as needed.

We are looking for candidates who demonstrate:
Knowledge of:
- Modern office technology
- Proper English usage, spelling, punctuation, and grammar
- Pertinent federal, state, and local laws, codes, and regulations
- Budget tracking
- MS4 (Municipal Separate Storm Sewer System)
- Use effective, clear, concise communication and interpersonal skills to interact with contractors and the public, ensuring clear exchange of information
- Establish and maintain effective working relationships with employees, and receive guidance from supervisors on work tasks
- Demonstrate proficiency with Microsoft Office Suite (especially Outlook, Word and Excel)
- Demonstrate attention to detail and excellent organizational and customer service skills
- Demonstrate experience with inbound call-taking
Equivalent to completion of the twelfth grade (high school diploma or GED) Three (3) years of full-time, professional experience in a related field
Experience with drainage and right-of-way maintenance Experience working in GoCOS and Cartegraph databases Knowledge of drainage infrastructure
