Description
The agency works with businesses of different sizes and provides SEO, Paid Media, and content marketing services. The Acceleron Media team consists of experienced and creative marketing professionals who focus not only on great ideas but also on delivering tangible business results for their clients.
We are looking for someone who enjoys making sure everything works as it should – the office is well-equipped, suppliers are coordinated, documents and contracts are taken care of, events are planned, and colleagues know who to turn to when everyday organizational questions arise.
This is an independent and varied role for someone who can see both the big picture and the small details that keep the office running smoothly.
WHAT WILL YOU DO?
- Ensure smooth day-to-day office operations and coordinate administrative processes.
- Communicate with external vendors and partners and coordinate the services they provide.
- Manage office supplies, equipment, maintenance, and purchasing.
- Monitor vendor contracts, including expiry dates, costs, and renewals.
- Coordinate employee mobile phones, equipment, and other administrative matters.
- Take care of employee engagement initiatives and look for ways to improve the overall employee experience.
- Organize company events and team activities and manage the related calendar and budget.
- Coordinate employee business travel, conferences, accommodation, and other related arrangements.
- Manage internal office communications and keep relevant information up to date in internal systems.
- Support the Finance team with vendor invoices and corporate credit card expenses.
- Ensure compliance with workplace health and safety requirements and other internal policies.
- Support other internal projects, training sessions, or larger meetings as needed.
- Experience in office administration, as an Office Manager, or in a similar role.
- Excellent organizational and prioritization skills, with the ability to manage multiple tasks at the same time.
- A proactive and independent approach – you notice what needs to be done without waiting to be asked.
- The ability to solve everyday problems and stay composed when plans change unexpectedly.
- A good understanding of internal business processes and the ability to identify opportunities for improvement.
- You enjoy working with people, communicating, and supporting the team.
- Fluency in written and spoken English.
- Good knowledge of MS Office; experience with Jira would be an advantage.
- Experience in event organization would be an advantage.
- Willingness to occasionally travel for business trips or conferences.
- Health insurance, including dental care, gym benefits, and other wellness services.
- Life and accident insurance.
- An individual wellness budget for each employee.
- 4 additional paid personal days per year.
- 2 additional paid sick days per year.
- Company contributions to the second-pillar pension scheme.
- A learning budget and professional development programs.
- Snacks and drinks in the office.
- Monthly team activities and events.
Salary range: 2440 - 2975 eur (before taxes)
Someone who enjoys being the person who connects the dots. You don't need detailed instructions for every situation - you can identify what needs to be done, who to contact, and how to take an issue through to resolution.
One day you might be coordinating a contract with a supplier; the next, organizing a team event, solving an office-related issue, and helping a new colleague get off to a smooth start.
If you enjoy this kind of pace and variety, this could be the right role for you.
