Description
Positions assigned to this class perform entry-level record keeping, data entry, public contact and cash handling work related to the Municipal Court. Duties are conducted according to established procedures.The following are intended to describe core work functions of this classification. While the level and broad nature of essential duties may not change, specific work tasks will vary over time depending on the city's needs.
- Process motions and notices of appearance, coordinate case-related follow-up with the parties and the judge to ensure timely resolution.
- Coordinate jury and bench trials, manage subpoenas and juror activities, and prepare courtrooms by organizing required documentation, operating courtroom recording equipment, and ensuring necessary supplies are available.
- Assist court patrons by responding to inquiries and offering information and guidance to defendants, attorneys, law enforcement personnel, and members of the public in person and by telephone.
- Draft and prepare correspondence, legal forms, summonses, warrants, complaints, and other court documents, while maintaining accurate case records through data entry, docket management, and updates to disposition and sentencing information.
- Accept and maintain accurate records of cash bonds, fees, payments, and other monies received; reconcile cash drawers and prepare daily deposits, financial reports, and supporting documentation.
- Update and manage case information in the case management system (CMS), including protective order cases, monitor files for compliance with court dates and sentencing obligations, notify police department for service of orders as necessary, and coordinate the preparation and execution of monthly purge files in accordance with the court record and retention policy.
- May attend courtroom proceedings as assigned, prepare court-generated documents including sentencing orders and future scheduling orders and assist bailiff with obtaining defendant signatures on appropriate documents.
- Support the city’s policies, goals, and procedures and work with management and other staff to ethically achieve such goals and objectives; ensure compliance with safety procedures.
High School diploma or GED, and one (1) year of paid full-time experience in clerical, administration, or office environment (including one year of cash handling) or an equivalent combination of education and experience.
Bilingual is preferred.Knowledge
- City and department procedures, policies and guidelines; Arizona Revised Statutes, general process and general procedures of court proceedings.
- Customer service principles, practices, and standards.
Skills
- Establish and maintain effective working relationships with judges, attorneys, law enforcement personnel, court staff, justice partners, and the public through professional, courteous, and effective communication.
- Operating a personal computer utilizing standard software such as Microsoft Office and some specialized software, functioning standard office equipment, proficient typing and data entry management.
- Assessing and prioritizing multiple tasks and demands, maintaining composure and working effectively under stress, meeting deadlines.
- Ability to perform general math calculations such as addition, subtraction, multiplication, and division in all units of measure, using whole numbers, common fractions, and decimals.
Pre-employment Requirements
Candidates who are selected for appointment may be fingerprinted, if 18 or older; successfully complete a background investigation, employment verification and may be subject to a drug/alcohol test, medical, polygraph and/or psychological evaluation. Candidates who are appointed will be required to possess a valid driver’s license to operate a vehicle in Arizona or meet the transportation needs of the position.
Physical Demands and Work Environment
Work is performed in a standard office environment. May require frequent sitting and continuous operation of a personal computer. May be required to perform a full range of motion with lifting and/or carrying items weighing up to 25 pounds.
