Support an attorney handling workers’ compensation claims from intake through resolution. Requires excellent organization, attention to detail and strong client service. Assistant will coordinate filings and correspondence with all parties, manage and coordinate medical treatment, track benefits and deadlines, and ensure timely, accurate documentation.
Core Responsibilities:
Case Opening and File Management
- Open new matters; create/maintain electronic and physical files, including verifying employer, carrier/TPA, and adjuster; document accident facts and body parts.
- Manage parties and contacts; download/upload from ICMS into Litify; upload, scan, label, and file all documents.
- Prepare/serve 207 forms and miscellaneous ICMS filings (COA, 108A, 108B, 102C).
- Calendar and track filing deadlines and mediations
- Request, pay for, and track medical records/bills; maintain logs and follow-ups.
- Build/maintain medical chronology and work status notes.
- Track indemnity payments; note late/missing payments; prepare mileage requests and correspondence.
- Conduct intake interviews; gather employment, wage, and treatment details.
- Maintain current status notes and next steps; track authorizations and wage documents, including medical treatment details, AWW and TTD rates; track start/stop/changes to medical treatment and relating to benefits.
- Notify client of appointments, mediations, medical visits, and IMEs; send confirmations and reminders; send informational materials and forms; manage client calls/emails; provide updates and coordinate approval of medical treatment and required signatures.
- Comply with confidentiality, HIPAA, and workers’ comp procedures; follow firm SOPs.
- Bilingual in English and Spanish
- Experience in workers’ compensation or PI preferred
- Proficient with MS Offic/Excel, and PDF tools.
- Excellent organization, detail, communication, and time management.
- HS diploma required; paralegal certificate or associate’s preferred.
