Job Description

The Orvis School of Nursing (OSN) is experiencing continued growth across its undergraduate academic programs, clinical partnerships, and student support operations. To support this expansion, the school seeks a temporary, part-time Operations Specialist to provide direct operational, project, and administrative support to the Associate Dean for Undergraduate Studies.

Serving as a key partner to the Associate Dean, this position extends the office's capacity keeping projects on schedule, coordinating with internal and external stakeholders, organizing information, and preparing the materials needed for meetings and decisions. Unlike a traditional clerical support role focused on scheduling and routine office functions, this position emphasizes project coordination, follow-through, and operational problem-solving in support of the school’s academic priorities.

The right candidate is comfortable owning a tracking system, anticipating what the Associate Dean will need before a meeting, and working independently with minimal direction.

Responsibilities

  • Develop and maintain systems for tracking projects, action items, deadlines, and key undergraduate program metrics, ensuring accurate records and timely follow-up.

  • Monitor project progress, identify barriers to completion, and coordinate with relevant stakeholders to keep initiatives moving forward.

  • Coordinate meetings and committee sessions on behalf of the Associate Dean, including preparing agendas and materials, capturing notes and decisions, and tracking follow-up items to closure.

  • Prepare reports, presentations, briefing materials, correspondence, and data summaries related to pre-licensure nursing programs to support planning and decision-making.

  • Collect, organize, and summarize information from multiple sources to support operational planning and program initiatives.

  • Serve as an administrative point of contact with faculty, staff, students, university departments, and external partners facilitating communication, tracking required actions, and following up on outstanding deliverables.

  • Maintain electronic records, project files, and operational documentation for the Associate Dean's office in accordance with University policy, including monitoring renewal dates for existing partnership agreements.

  • Assist with special projects and operational initiatives as assigned, consistent with the scope and hours of this appointment.

Required Qualifications

  • Demonstrated experience tracking multiple deadlines and following through on outstanding items independently

  • Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint)

  • Strong written and verbal communication skills

Preferred Qualifications

  • Experience supporting a senior administrator or executive

  • Experience in higher education, healthcare, or another regulated environment

  • Familiarity with Workday and other enterprise document management systems (Box, SharePoint or similar)

Schedule

19 hours weekly; hours may not exceed 19 without prior approval
