Are you an organized, people-focused, service-oriented professional who enjoys making a positive difference in the workplace and community?  The City is seeking a Human Resources & Administrative Services Coordinator to join our Human Resources team and serve as the welcoming face and first point of contact for City Hall.  


This highly visible position combines human resources support, administrative coordination, and exceptional customer service. The ideal candidate is friendly and approachable, communicates with confidence and professionalism, and understands the importance of discretion when handling confidential employee and personnel matters.

In this role, you will help ensure that City Hall operates smoothly and that every resident, visitor, employee, elected official, and community partner receives a warm, professional, and positive experience.

As the Human Resources & Administrative Services Coordinator, you will:

  • Serve as the primary receptionist for City Hall, welcoming and assisting residents, visitors, elected officials, employees, and community partners.
  • Answer and direct telephone calls, emails, and walk-in inquiries to the appropriate department or staff member.
  • Provide outstanding customer service by responding to questions and routine concerns with professionalism, empathy, and sound judgment.
  • Provide administrative support for Human Resources functions, including recruitment, onboarding, orientation, benefits administration, personnel records, and employee engagement.
  • Coordinate departmental schedules for interviews, meetings, training sessions, orientations, employee events, and other activities.
  • Prepare correspondence, reports, forms, presentations, and other documents using Microsoft Office applications.
  • Maintain confidential employee files and personnel records in accordance with applicable laws, regulations, and City policies.
  • Process incoming and outgoing mail, deliveries, and departmental communications.
  • Help maintain a clean, organized, professional, and welcoming City Hall reception area and common areas.
  • Order, receive, organize, and maintain office and departmental supplies.
  • Support special projects, City events, employee recognition programs, wellness initiatives, and other departmental activities.
  • Assist with personnel transactions and other Human Resources functions as assigned.
  • Build and maintain positive working relationships with employees, City officials, volunteers, residents, visitors, and community partners.
  • Participate in Emergency Management activities when assigned.
  • Perform other duties and responsibilities as assigned.

Work Schedule & Special Requirements:
  • This is an in-person position and is not eligible for remote work.
  • Regular work schedule is in person, Monday - Friday, 8:00 a.m. - 5:00 p.m.  Occasional work outside normal business hours may be required for special events, City activities, or emergency situations.
  • Regular and consistent attendance is essential. Employees must be able to work holidays, weekends, or after normal business hours when needed.
  • Reliable transportation is required.
What Success Looks Like:

The successful candidate will be someone who can confidently balance being the friendly face of City Hall with the professionalism and discretion required to support Human Resources.

You will be trusted to use independent judgment when responding to routine questions and requests, including situations involving sensitive, confidential, or politically sensitive matters. You will research information when necessary, determine appropriate courses of action, identify opportunities for improvement, and recommend solutions that help the City serve its employees and community effectively.

Minimum Qualifications:
  • High school diploma or equivalent.
  • Three (3) years of experience in general clerical or administrative support.
  • Competent computer skills, including proficiency with Microsoft Office Suite.
  • Equivalent combinations of education and experience may be considered.
  • Municipal or public-sector experience is desirable.
  • Bilingual proficiency in English and Spanish is preferred.

License & Certification:
  • Must possess and maintain a valid Texas Driver License with a satisfactory driving record throughout employment.
  • Certification as a Notary Public is preferred, or the ability to obtain within six (6) months of employment.
