Position Summary

A Senior Contracts Administrator, under general direction, independently performs a full range of complex duties with primary emphasis on ensuring that contractual relationships between the company, its government customers, and subcontractors conform to SBA requirements, FAR/DFARS regulations, company objectives, and applicable state and federal laws. This position is responsible for creating, revising, reviewing, negotiating, and overseeing federally funded contracts held by the company.

Essential Duties and Responsibilities

  • Administer cradle‑to‑grave management of assigned contracts and subcontracts, including contract modifications; ensuring compliance with prime contract requirements; preparing proposals; and negotiating contract terms with existing or prospective clients.
  • Independently lead and support proposal activities, including analyzing solicitations, preparing summaries, and developing strategies and recommendations with attention to financial and business risk. Participate in proposal team meetings, prepare terms, conditions, and assumptions, review technical and pricing proposals for accuracy and consistency, conduct risk analyses, and prepare proposal documents for submission to the customer.
  • Advise management on contractual rights and obligations, risk mitigation alternatives, and business strategies.
  • Maintain logs, trackers, and other data for contract activity and generate reports as required. Ensure timely processing of technical and financial deliverables for monthly and quarterly reporting.
  • Coordinate with other company functions to ensure appropriate reviews are conducted; schedule reviews; and obtain necessary approvals and signatures prior to proposal submission or contract execution.
  • Adhere to and communicate contract policies, procedures, methods, operating practices, and performance standards.
  • Serve as the primary point of contact between the company and customers for all contractual matters on assigned contracts and related agreements, including Proprietary Information Agreements and other business documents.
  • Lead negotiation of contract terms from proposal stage through project close‑out in accordance with applicable regulations and collaborate with customers to definitize and complete contracts.
  • Coordinate with subcontractors on contractual documentation, modifications, customer requests, and other subcontract matters. Maintain contract files in compliance with CPSR requirements and DCAA/DCMA audit guidelines.
  • Develop or review prime contract and subcontract flow‑down documents to ensure compliance with requirements and minimize company liability.
  • Perform all aspects of assigned contract or purchase order processing, including accuracy of data entry, contract funding, scope changes, amendments, delivery schedules, legal requirements, and other commitments.
  • Prepare, track, and submit Contract Data Requirements Lists (CDRLs).
  • Assist HR, Finance, and Procurement departments in fulfilling contractual agreements.

Requirements

  • 5+ years of experience in contract administration, subcontract administration, negotiations, and leading/supporting proposals.
  • Experience with various contract types, including fixed‑price, time‑and‑materials, cost‑reimbursable, and GSA schedules, including GWACs, BPAs, rapid response IDIQs, and Other Transaction Agreements (OTAs).
  • Hands‑on experience in identifying and categorizing risk, FAR 9.5 organizational conflict of interest (OCI) terms, and developing mitigation strategies as needed.
  • In‑depth knowledge and working understanding of the U.S. Government acquisition and procurement environment, commercial contracting methods, FAR/DFARS, and related regulations.
  • Ability to establish and maintain relationships with internal and external clients.
  • Ability to operate with minimal supervision in a fast‑paced, team‑oriented environment.
  • Must be able to work in person at a MAG facility at least two days per week.

Clearance

  • Must be able to obtain and maintain a Secret security clearance.

Education

  • Bachelor’s degree preferred in finance, accounting, or business administration. Equivalent professional experience will be considered.

  • Certified Federal Contract Manager (CFCM), Certified Professional Contract Manager (CPCM), or a contract management certificate from an accredited institution.
  • Detail‑ and process‑oriented approach to portfolio management with demonstrated knowledge of effective project management strategies and tools.
  • Ability to interact professionally and productively at all levels.
  • Excellent verbal and written communication skills.
  • Strong organizational and follow‑up skills.
  • Located in Fairfax, VA or the surrounding Washington, DC area.
