Facilities Manager - Industrial Portfolio
Position Overview
Lead comprehensive facilities management operations across an industrial portfolio, delivering excellence in both hard and soft services while ensuring operational efficiency, tenant satisfaction, and sustainable practices.
Core Responsibilities
Hard Services & Technical Operations
Oversee all critical building systems including mechanical, electrical, plumbing, HVAC, and structural components to ensure optimal performance and longevity. Direct preventive and corrective maintenance programs that minimize downtime and extend asset lifecycles.
Manage relationships with specialized contractors, vendors, and service providers, ensuring service level agreements are met and work quality consistently exceeds standards. Conduct regular facility inspections and audits to identify potential issues before they escalate.
Implement and platforms to enhance operational efficiency. Partner closely with Health and Safety teams to maintain full regulatory compliance across all properties.
Soft Services & Environmental Management
Direct daily operations of soft services including cleaning, waste management, landscaping, pest control, and environmental services. Establish service standards and performance metrics that maintain professional presentation across all facilities.
Source, contract, and manage service providers, conducting regular performance reviews and implementing continuous improvement initiatives. Develop comprehensive cleaning protocols and schedules tailored to industrial environments and tenant requirements.
Oversee ancillary services such as reception, mailroom operations, security coordination, and visitor management to support seamless facility operations.
Stakeholder Relations
Serve as the primary point of contact for tenant facilities-related matters, building trusted relationships through responsive service delivery and proactive communication. Address service requests promptly and escalate critical issues with appropriate urgency.
Conduct regular tenant engagement sessions to assess satisfaction levels, gather feedback, and identify opportunities for service enhancement. Collaborate cross-functionally with leasing, project management, finance, and asset management teams to align facilities operations with broader business objectives.
Maintain transparent communication channels with all stakeholders, providing regular updates on facilities performance, planned maintenance activities, and improvement initiatives.
Financial Planning & Performance Management
Partner with finance teams in annual budget development, providing accurate forecasting for operating and capital expenditures. Monitor spending against approved budgets, identifying variances and implementing corrective measures as needed.
Review and approve invoices for accuracy, ensuring compliance with contractual terms and company procurement policies. Identify and implement cost optimization opportunities while maintaining or improving service quality standards.
Prepare regular financial reports highlighting key performance indicators, cost trends, and opportunities for operational efficiencies.
Risk Management & Emergency Preparedness
Develop, maintain, and regularly test comprehensive emergency response and business continuity plans for all portfolio properties. Ensure preparedness for scenarios including fire, severe weather, security incidents, and equipment failures.
Conduct routine emergency drills and training sessions for building occupants and facility staff. Establish and maintain relationships with local emergency services, regulatory agencies, and crisis response vendors.
Lead incident response efforts when emergencies occur, coordinating resources and communications to protect people, property, and business operations.
Sustainability & Innovation
Drive sustainability initiatives focused on energy efficiency, waste reduction, water conservation, and environmental stewardship. Identify and evaluate opportunities for implementing green technologies and sustainable practices across the portfolio.
Stay current with industry trends, emerging technologies, and regulatory developments in facilities management and industrial property operations. Recommend and implement innovative solutions that enhance operational performance and tenant experience.
Track and report on sustainability metrics, demonstrating progress toward corporate environmental goals and identifying areas for continued improvement.
