Position Summary The Catering Assistant provides administrative and operational support to the Sales & Catering team, ensuring flawless execution of group, catering, wedding, and special event business. This role assists with client communications, event documentation, site inspections, internal coordination, and guest celebrations while maintaining the highest standards of luxury hospitality and service excellence. Key Responsibilities Sales & Catering Support
- Provide administrative support to the Sales, Catering, and Events team.
- Assist with the creation, distribution, and organization of proposals, contracts, banquet event orders (BEOs), and event correspondence.
- Support all wedding, anniversary, birthday, and special celebration requests as directed by the Sales & Catering team.
Delphi System Management
- Maintain accurate client and event records within Delphi.
- Enter and update account information, activities, and event details.
- Assist with reporting, data management, and file organization within the CRM system.
Event & Meeting Coordination
- Participate in and attend BEO meetings, taking notes and following up on assigned action items.
- Assist with internal communication to ensure event details are accurately shared among departments.
- Support event logistics and coordination leading up to program execution.
Site Visit & Client Experience Support
- Coordinate and assist with property site inspections and client tours.
- Prepare presentation materials, welcome amenities, and collateral for prospective clients and planners.
- Ensure an exceptional and professional experience for all visitors and guests during property visits.
Administrative Responsibilities
- Monitor incoming inquiries and route requests appropriately.
- Maintain organized electronic and physical event files.
- Assist with menu updates, event documents, correspondence, and special projects.
- Support invoice tracking, deposits, and billing coordination as directed.
