Job Summary:

The Human Resources Representative will provide clerical and administrative support to HR and administrative teams throughout the property, as well a wide scope of support to Kickapoo Lucky Eagle Casino Hotel (KLECH) Team Members at all levels of the organization. This position requires specialized knowledge of HR general functions, programs, and services, and is responsible for a variety of tasks and projects in support of all areas of HR. The ability to maintain confidentiality is also imperative in this role.


Essential Functions:

1) Ensure compliance with the applicable Tribal, Federal, other laws, KGC Gaming Regulations, and Kickapoo Lucky Eagle Casino Hotel policies and procedures.

2) Ensure the highest possible standards of guest services by properly listening and responding to guest and Team Member concerns and questions.

3) Assist with Human Resources functions including Team Member/labor relations, internal communications, licensing/records, employment coordination, new hire processing, training, and uniforms distribution and inventory.

4) Ensure the highest possible standards of internal and external guest services are provided; listen and respond to concerns and questions timely and thoroughly.

5) Organize work, input data, and ensure accuracy of data. Assist Team Members and KLECH departments with various concerns and issues.

6) Generate and send required reports.

7) Meet, greet, and direct HR office visitors.

8) Respond to phone calls, emails, and faxes timely and thoroughly.

9) Perform internal and external office communication: e-mails, phone calls, fax, voicemails, and miscellaneous written correspondence.

10) Organize and maintain, in alphabetical order, personnel records. Manually file documents for all areas of HR, in appropriate Team Member files, ensuring accuracy and efficiency.

11) Maintain I-9 Forms and medical paperwork using established filing systems.

12) Process billings and requisitions as directed, and maintain supplies needed for the department.

13) Purge separation paperwork following established practices.

14) Process Personnel Action Forms, including entering information into the HRIS recordkeeping system accurately and timely, forward documents to payroll and other departments as necessary, and ensure that Team Members' personnel files are updated in a timely manner with all new information.

15) Receive, sort, and distribute office mail.

16) Is cross trained in the Generalist role; makes job offers, enters information into the proper system for licensing, processes Personnel Action Forms, prepare and complete new hire packets, ensure proper documentation of all forms, assign Team Member identification numbers, verify authorization to work in the U.S., and obtain and deliver required documents for signatures and processing. Assists with the onboarding of new Team Members.

17) Attend meetings with management in regards to ongoing events, performance reviews, department updates, etc., and interpret/translate information as needed.

18) Manage and monitor HR records and files to ensure all Team Member files meet KLECH policy.

19) Coordinate materials for meetings, training sessions, and other activities. 20) Assist HR Director or HR Manager with research and/or special projects as needed.

21) Assists with uniform function as needed, to include, orders uniforms, receives uniforms, inputs items into a uniform management system, affixes bar codes, issue uniforms to Team Members, and assists with monthly inventory counts.

22) Demonstrate and promote KLECH core values and Guest Service skills.

23) Manage and maintain security of confidential information entrusted to position.

24) Attend and satisfactorily complete all required training as assigned.

25) The essential functions listed above are not an all-inclusive list, but rather a general representation of the duties and responsibilities pertinent to this position. The duties and responsibilities will be subject to change based on organizational needs and/or deemed necessary by the Director.

26) Perform other related duties as assigned.


Minimum Requirements to Qualifications:

1) A High School Diploma or General Education Diploma (GED) is required.

2) Four (4) years of clerical and administrative experience, with a proven work history of working in a fastpaced environment with a focus on confidentiality of information.

3) The demonstrated ability to effectively address multiple competing priorities on an ongoing basis.

4) Demonstrated ability to build strong collaborative relationships within all levels of a company or organization.

5) Advanced level of proficiency with the Microsoft suite (Word, Excel, PowerPoint), internet use, and departmental specific software and programs (UKG, Uniform Management System, Applicant Pool or other job boards, SpendMap etc.)

6) Must demonstrate effective English verbal and written communication skills; Bi-Lingual in English and Spanish preferred.

7) Experience with public speaking or speaking in front of large groups highly desirable.

8) Bachelor's degree in Business Administration or another related field, preferred.

9) One (1) year of experience working inn a Human Resources department, preferred.

10) THRP Certification, preferred.


Other Criteria:

Qualified Kickapoo Traditional Tribe of Texas Members and qualified Native American preference is observed.

13) Ability to follow and comply with established Casino guest service programs.



Physical Demands:

  • While performing the duties of this position, the Team Member is regularly required to stand, sit, walk, push, pull, bend for extended periods; reach with hands and arms; talk and listen on a regular basis.
  • 2) The Team Member must be able to concentrate for prolonged periods.
  • 3) Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and depth perception. 4
  • ) The Team Member must be able to communicate effectively in person or using telecommunications equipment.
  • 5) The Team Member must have the hand-eye coordination and manual dexterity to operate a keyboard, touch-screen display, telephone, and calculator.
  • 6) Frequently lift and/or move up to 30 lbs.

Work Environment:

1) Normal office setting and casino floor.

2) Frequent contact with the general public.

3) Temperature controlled environment with varying noise levels. May be exposed to high levels of noise throughout the day.

4) Extended hours and irregular shifts may be required including nights, weekends, and holidays.

5) Must be able to perform under pressure and work long hours under stressful conditions.

6) May be exposed to the risks associated in attempting to resolve issues with difficult guests Team Members.

7) May be exposed to various types of lighting including, but not limited to: artificial fluorescent lights, flashing lights, strobe lights, multiple colored lights, etc.

8) May be exposed to cigarette smoke while on the casino floor in established smoking areas.

9) Travel may be required to perform one or more essential functions of this position.


Conditions of Employment:

1) Must be able to obtain and retain a KGC Gaming License, including successful completion of background check necessary to obtain and maintain license. Responsible to keep all documents current and valid always.

2) Must be able to provide authorization to work in the United States.

3) Must be at least 18 years of age.

4) Must have access to reliable transportation to commute to and from work.

5) Must comply with KLECH Handbook, internal policy and procedures, and KTTT Gaming Regulations set within KLECH.
