Overview:
Reporting to the Executive Assistant to the CEO, the Sr. Administrative Assistant provides comprehensive administrative and operational support to designated members of the Executive Leadership Team, ensuring the efficient day-to-day functioning of executive support. This role is responsible for coordinating schedules, supporting meetings and events, preparing documents, managing travel and expense processes, and serving as a key point of contact for internal and external stakeholders. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities while maintaining professionalism and confidentiality. This is a full-time, hybrid position, based out of Alpharetta, GA.
Key Responsibilities:
- Provide day-to-day administrative support to designated members of the Executive Leadership Team (ELT).
- Manage calendars, schedule meetings, and coordinate appointments.
- Coordinate travel arrangements and logistics, including flights, hotels, and ground transportation, as needed.
- Prepare, reconcile, and submit expense reports.
- Coordinate meetings and events, including room reservations, agendas, materials, and logistics.
- Prepare correspondence, reports, presentations, and other business documents.
- Maintain and organize electronic records, cloud-based files, and shared collaboration platforms to support efficient access, document retention, and information security.
- Handle confidential and sensitive information with discretion.
- Utilize sound judgment and decision-making skills to effectively manage significant and time-sensitive matters in support of the Executive Leadership Team (ELT).
- Serve as a primary point of contact for internal departments and external vendors regarding Executive Leadership Team (ELT) initiatives.
- Assist with special projects by coordinating tasks, tracking progress, and following up on action items.
- Conduct research in partnership with the Executive Assistant to support administrative and operational needs, including but not limited to evaluating vendor options, selecting meeting venues, and preparing travel arrangements, etc.
- Identify opportunities to improve administrative processes and increase efficiency in the area of Executive Support.
- Conduct business-related errands as needed to support executive and organizational priorities, including response(s) to time-sensitive requests with limited advance notice, at times.
- Perform other administrative duties as assigned by the Executive Assistant.
Qualifications:
- Education:
- Bachelor’s Degree or equivalent experience required.
- Experience:
- Minimum 5 years of experience in an administrative support role.
- Experience supporting multiple priorities in a fast-paced professional environment preferred.
- Skills:
- Excellent organizational and time management skills.
- Strong verbal and written communication skills.
- High level of professionalism and discretion when handling confidential information.
- Proficiency in Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
- Ability to prioritize multiple tasks and meet deadlines with minimal supervision.
- Strong attention to detail and problem-solving skills.
- Excellent interpersonal and customer service skills.
- Ability to work independently and collaboratively in a team environment.
- Adaptability and a proactive approach to supporting business operations.
