We are looking for an organised and detail-oriented Operations Coordinator to support the effective day-to-day running of the agency's operational functions. Acting as a key link between Client Services, Finance, Operations, and People teams, this role will ensure projects, systems, and business processes are managed efficiently and accurately.
Key Responsibilities
- Coordinate project setup and job creation in collaboration with Client Services and Project Finance teams.
- Ensure project information, budgets, timelines, and billing details are accurately maintained within internal systems.
- Support Client Services and Finance teams with project administration and workflow management.
- Maintain project pipeline reporting and assist with revenue forecasting activities.
- Monitor Work in Progress (WIP) reports and support regular project review processes.
- Track project status and ensure key milestones and operational requirements are completed on time.
- Support invoice preparation and billing administration.
- Assist with project audit requirements and compliance processes.
- Support project profitability and utilisation reporting.
- Work with Client Services and Resourcing teams to improve project margins and overall financial performance.
- Identify opportunities for process improvement and support the implementation of operational best practices.
- Raise, manage, and track Purchase Orders (POs) across suppliers and vendors.
Reporting & Process Improvement
- Produce regular operational reports, dashboards, and business performance updates for leadership teams.
- Maintain accurate records across operational systems and databases.
- Document, review, and improve internal processes and workflows.
- Support operational projects and continuous business improvement initiatives.
- Provide support on ad-hoc operational requests and projects across Anthesis.
Recruitment & People Operations
- Coordinate recruitment activities in partnership with Heads of Department and the People & Development team.
- Manage onboarding and offboarding processes for new starters and leavers.
- Support employee inductions and agency orientation programmes.
- Assist with performance review administration and training coordination.
- Support employee engagement initiatives and activities that contribute to a positive agency culture.
Skills, Knowledge & Expertise
- Proven experience in operations, project coordination, project administration, or a similar role.
- Strong organisational skills with the ability to manage multiple tasks and deadlines simultaneously.
- Experience supporting project administration, workflows, or business operations.
- Excellent attention to detail and problem-solving abilities.
- Strong communication and stakeholder management skills.
- Confident working with reporting tools, spreadsheets, and business systems.
- Proactive, collaborative, and adaptable approach to work.
- Experience working within a creative agency, consultancy, or professional services environment is desirable.
