Services Officer – Nairobi, Kenya
We are seeking a highly organized and detail-oriented Services Officer to support the efficient administration of contracts, cost control, payroll coordination, supplier management, and financial reporting activities. The successful candidate will be responsible for maintaining accurate records, managing databases, supporting budget and cost analysis, ensuring compliance with company procedures, and providing administrative support to facilitate smooth business operations.
Key Responsibilities
- Administer and maintain contracts with third-party suppliers and service providers.
- Monitor contract costs, budgets, and expenditures, ensuring accurate cost control and reporting.
- Manage databases and maintain accurate electronic and physical records.
- Ensure timely and accurate processing of administrative documentation and related paperwork.
- Prepare budgets, cost analyses, and management reports.
- Support payroll processing by ensuring accurate and timely payroll administration.
- Ensure supplier contracts are current, properly documented, and securely maintained.
- Coordinate the onboarding of contractors by ensuring all required documentation and approval processes are completed.
- Compile, analyze, and report financial and operational data.
- Ensure compliance with company policies, procedures, and internal controls.
- Liaise with internal departments and external service providers to support efficient service delivery.
- Perform any other duties assigned by Management.
Key Requirements
- Bachelor's degree in Business Administration, Finance, Accounting, or a related field.
- Minimum of 3 years' experience in business administration, contract administration, cost control, finance support, or a similar role.
- Strong proficiency in Microsoft Office Suite, particularly Microsoft Excel.
- Experience managing databases and maintaining accurate records.
- Strong analytical and numerical skills.
- Knowledge of budgeting, cost analysis, and financial reporting.
- Excellent organizational and time management skills, with the ability to meet strict deadlines.
- High level of accuracy and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to work independently and collaboratively within a team.
- Experience using ERP systems will be an added advantage.
