Position Summary: The Branch Administrator operates independently and as part of a small team to support daily operations, drive business growth, and maintain service excellence. This role provides critical administrative support to ensure maximum team efficiency while handling confidential and time-sensitive materials.
Prior knowledge of warehouse concepts, practices, and procedures is highly preferred. The ideal candidate relies on experience and judgment to plan and accomplish goals, demonstrating creativity and strong multi-tasking skills. This position reports directly to the Business Manager and provides cross-functional support to multiple managers company-wide.
Essential Duties and Responsibilities: Include the following, as well as other duties that may be assigned.
- Front Office & Communication
- Answer and direct phone calls to the appropriate team members.
- Manage the front office, direct walk-in customers, and maintain branch office supplies.
- Facilitate prompt communication between branches, corporate offices, and team members.
- Financial & Transaction Management
- Manage bank deposits, customer checks, and branch petty cash.
- Perform daily invoicing of customer orders, including scanning, mailing, and emailing copies.
- Process vendor invoices, drop shipments, and transfers for other branches.
- Securely process cash and credit card transactions and maintain accurate financial records.
- Order & Inventory Control
- Review orders and documents for accuracy, notifying team members of any discrepancies.
- Monitor PO status and communicate directly with manufacturers and sales representatives.
- Monitor, investigate, and assist with corrections for inventory discrepancies.
- Process RMAs and credits while keeping internal records updated.
- Review and balance inventory location accuracy, making adjustments and transfers as needed.
- Process daily negative bin reports and correct inventory tracking accordingly.
- Data & System Maintenance
- Update and maintain customer information, including tax resale and credit applications.
- Confirm branch POs and enter certifications directly into the ERP system.
- Communicate urgent details, shipping updates, and PO changes to buyers and the sales team.
Minimum Qualifications: To perform the job successfully, the individual must have the following minimum qualifications:
- Knowledge, Skills, and Abilities:
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel)
- Proficiency in standard office and database programs/equipment
- Knowledge of ERP systems
- Education and Experience: (Required and preferred educational and experiential qualifications)
- Bachelor’s Degree from an accredited university preferred
- High School Diploma or equivalent
- 1-3 years’ experience in an administrative role
