Description
A leading organisation is seeking an experienced Executive Personal Assistant to provide comprehensive executive, PMO and operational support. This role is ideal for a proactive and detail-driven professional who excels in a fast-paced environment and can confidently coordinate senior stakeholders, governance forums, project administration and day-to-day business operations.
Responsibilities:
- Proactively manage executive diaries, calendars, meetings and competing priorities.
- Coordinate PMO, SteerCo, CEO and other governance forums, including agendas, meeting packs, minutes, reminders and action tracking.
- Review reports and governance packs for accuracy and completeness before submission.
- Provide administrative support across project and BDLC phases, including maintaining business cases, project plans, RAID logs, test evidence and closure documentation.
- Maintain governance trackers, project repositories, records, approvals and audit documentation.
- Coordinate meetings, workshops, events, venues, catering and related logistics.
- Process expense claims, travel bookings, finance submissions, cost allocations and approvals.
- Administer system access requests, IT tickets and related processes across platforms such as ServiceNow and IAG.
- Maintain accurate asset and inventory records for laptops, iPads, vouchers and other business assets.
- Support incentive campaigns, awards, internal communications, HR documentation and corporate events.
Requirements:
- Matric is essential.
- An NQF Level 5+ qualification in Secretarial Studies, Administration, Business Management, Project Management or a related field is advantageous.
- 3–5 years’ experience as a Personal Assistant, Executive Assistant or Operations Support Administrator.
- Proven experience supporting senior management or executives.
- Exposure to PMO, project management or financial services environments would be advantageous.
- Advanced proficiency in MS Outlook, Word, Excel and PowerPoint.
- Exceptional planning, organisation and attention to detail.
- Strong stakeholder management and communication skills.
- Professional, discreet and resilient, with the ability to handle confidential information appropriately.
- Ability to manage multiple priorities and demanding deadlines in a fast-paced environment.
