Description

This is a hybrid position requiring one day a month in office at the GRAMMY Museum in downtown Los Angeles (and when there is an education program event).

WHO WE’RE LOOKING FOR

The Education & Community Engagement Coordinator plays a key role in supporting the planning, coordination, and execution of the Grammy Museum’s education and community engagement initiatives. Reporting to the Senior Director, you will provide critical operational, administrative, and programmatic support across the department, ensuring the successful delivery of local, national, and digital programs.

You will take on increasing responsibility in coordinating core programs, including Grammy Camp, the Music Educator Award, Songwriting Sessions, Student Showcase and professional development initiatives for educators. You will serve as a central point of organization for departmental processes, logistics, and communication, while also supporting cross-functional collaboration with internal teams and external partners. You have strong organizational skills, attention to detail, and are able to manage multiple priorities in a fast-paced environment.

WHAT YOU’LL DO

Program Coordination & Execution

  • Coordinate logistics and execution for education and community engagement programs, including Grammy Camp, Grammy In the Schools, Industry Sessions, Student Showcase, the Music Educator Award, and other initiatives.
  • Coordinate applicant recruitment for Education & Community Engagement programs, including outreach, research, school visits, etc.
  • Coordinate application processes for Education & Community Engagement programs, including submission tracking, review coordination, participant communication, and record maintenance
  • Coordinate applicant acceptance and selection process for Education & Community Engagement programs, including paperwork collection, tuition payment, and any other logistics surrounding minors who attend our programs.
  • Coordinate logistics and operational support for the Music Educator Award, including application management, communication with nominees and stakeholders, scheduling, and coordination with internal teams to support program milestones and events.
  • Support program planning and implementation by managing schedules, materials, communications, and on-site logistics.
  • Serve as a point of contact for program participants, including students, educators, parents, artists, and partners.
  • Coordinate travel, accommodations, and logistics for national programs and faculty as needed.
  • Support program execution on-site, including evenings and weekends as required.
  • Process contracts and payments in coordination with the finance department

Departmental Administrative Support

  • Provide administrative support across the education and community engagement team, including calendar management, meeting coordination, and internal communication.
  • Maintain and update program documentation, including program manuals, run-of-shows, and internal resources.
  • Track and process invoices, contracts, and payments in coordination with internal departments.
  • Maintain organized and accessible digital files, contact databases, and program records.
  • Support data tracking, including program attendance, participant feedback, and reporting metrics.

Program Operations & Logistics

  • Coordinate production and logistical needs for programs, including scheduling, equipment, rentals, backline, and materials.
  • Support the operational execution of the Music Educator Award process, including tracking submissions, organizing review materials, coordinating communications, and assisting with event-related logistics.
  • Collaborate with Marketing and Communications to support outreach efforts, including email campaigns, social media coordination, and promotional materials.
  • Assist with website and digital platform updates, including program information and resources.

Cross-Functional Coordination

  • Work closely with internal teams (Education, Production, Marketing, Guest Services, Advancement, Finance) to support program delivery and alignment with institutional priorities.
  • Support coordination with external partners, including schools, community organizations, and industry professionals.

Grammy Camp & Program Travel

  • Support Grammy Camp programming through logistical coordination and on-site execution during camp sessions.
  • Travel as needed to support Grammy Camp, professional development programs, and, in some cases, Grammy In the Schools initiatives.

SKILLS AND EXPERIENCE

  • Bachelor’s degree in education, music, arts administration, communications, or a related field or equivalent experience.
  • 1–3 years of experience in program coordination, administration, or a related field, preferably in music, arts education, nonprofit, or community engagement.
  • Experience supporting both in-person and virtual programming preferred.
  • Interest in music, music education, and community engagement.
  • Proficiency and interest in content creation.
  • Proficiency in Microsoft Office, Google Workspace, and program management tools. Experience with database systems a plus.
  • Excellent communication and interpersonal skills, with the ability to work with diverse audiences including students, educators, artists, and partners. Bilingual skills a plus.
  • Strong organizational and project coordination skills with the ability to manage multiple tasks and deadlines simultaneously.
  • Must be detail-oriented with strong administrative and logistical capabilities.
  • Ability to work in a fast-paced, dynamic environment with shifting priorities.
  • Comfortable working evenings, weekends, and a flexible schedule as needed for programs.
  • Willingness to travel for program support, especially during the summer.

SALARY AND BENEFITS

The starting rate for this position is $24.10 to $26.10 per hour, benchmarked against industry standards. Rates for positions required to be in specific geographic locations reflect the corresponding labor market.
