Responsibilities
- Coordinate residential HVAC, Plumbing, Electrical, and/or Sewer & Drain projects from sale through completion.
- Review sold jobs to ensure scopes of work, equipment, materials, permits, financing, and customer information are complete and accurate.
- Schedule projects and coordinate installation dates with customers, field teams, managers, and other departments.
- Communicate with customers throughout the project regarding scheduling, expectations, changes, and project status.
- Coordinate equipment and material needs with the warehouse, purchasing, vendors, and installation teams.
- Ensure required permits, inspections, documentation, and job-related paperwork are completed accurately and on time.
- Maintain accurate project information, notes, photos, and documentation in ServiceTitan.
- Monitor project schedules and proactively address delays, missing materials, scheduling conflicts, or other issues that could impact completion.
- Partner closely with Sales, Install Managers, Field Supervisors, Installers, Dispatch, Warehouse, and Accounting to ensure a smooth customer experience.
- Coordinate change orders and ensure appropriate documentation and approvals are obtained.
- Confirm completed projects are properly closed out, including required documentation, inspections, payments, and customer follow-up.
- Assist with warranty, inspection, or post-installation issues and coordinate appropriate follow-up when needed.
- Maintain organized project records and provide regular updates on outstanding or upcoming projects.
- Provide professional, timely communication and exceptional customer service throughout the entire project lifecycle.
- Identify opportunities to improve project coordination, communication, efficiency, and the overall customer experience.
- Other job duties as assigned.
Requirements
- 2+ years of project coordination, scheduling, customer service, or administrative experience preferred.
- Strong organizational skills with the ability to manage multiple projects and priorities simultaneously.
- Excellent verbal and written communication skills with a strong customer-service mindset.
- Strong attention to detail and ability to maintain accurate project documentation.
- Ability to identify potential project issues and proactively work toward solutions.
- Comfortable working in a fast-paced environment with changing schedules and priorities.
- Proficiency with Microsoft Office and general business technology; ServiceTitan experience preferred but not required.
- Strong problem-solving, follow-through, and time-management skills.
- Dependable, professional, and accountable with a team-oriented approach.
- Ability to learn company processes, equipment terminology, permitting requirements, and residential installation workflows.me.
