REPORTS TO: Chief Programs Officer & Interim Chief of Staff

SCHEDULE: Monday-Friday (9:00 am-5:30 pm)

LOCATION: Venice, CA, Access Center, Hybrid

STATUS: Full-Time, 40 hrs/wk, Non-Exempt

SALARY RANGE: $25.00-$26.45/hr

ABOUT THE ROLE:

The Training & Quality Assurance Coordinator supports the agency in maintaining quality, compliance, and consistency across programs and organizational functions. This role coordinates quality assurance activities, agency-wide and contract-specific training requirements, documentation reviews, and compliance tracking. The Training and Quality Assurance Coordinator works closely with HR, program leadership, and supervisors to maintain effective tracking systems, identify gaps, and support continuous quality improvement.

WHAT YOU’LL DO:

• Work with the HR Director, Chief Programs Officer, and program leadership to review agency and contract requirements and identify required training, certifications, documentation, and compliance activities.
• Coordinate and maintain tracking of agency-wide and contract-specific training requirements, including staff completion, certifications, renewals, and supporting documentation; follow up with staff and supervisors regarding outstanding or expiring requirements.
• Support onboarding logistics by coordinating and tracking required agency, program, and compliance training for new employees.
• Lead efforts to standardize charting systems and ensure consistent, high-quality documentation across programs.
• Lead quarterly peer chart audits and support ongoing quality assurance and compliance activities.
• Track audit findings, identify trends and gaps, and work with supervisors and program leadership to support follow-up and quality improvement.
• Facilitate monthly Performance and Quality Improvement meetings and support goal development, implementation, and tracking.
• Compile and analyze quality assurance, compliance, and training data and prepare reports, presentations, and other documentation for leadership.
• Support preparation for contract monitoring, audits, site visits, and other compliance reviews.
• Work with supervisors and subject matter experts to identify training gaps and support the development or coordination of additional training and professional development opportunities.
• Assist with the development and maintenance of policies, procedures, SOPs, training materials, and other resources that promote consistent agency practices.
• Develop, maintain, and improve tracking systems, workflows, calendars, dashboards, and other tools to monitor training, quality assurance, and compliance requirements.
• Collaborate with HR, Programs, and other departments to ensure organizational and contract requirements are effectively communicated and tracked.
• Maintain strict confidentiality and a high level of professionalism in all responsibilities.

Requirements

WHAT YOU’LL NEED:

• Bachelor's Degree in Business Administration, Social Services, Psychology, Sociology, Public Administration, or a related field is preferred.
• High School Diploma is required.
• 1-2 years of experience in quality assurance, compliance, training coordination, program operations, administrative coordination, or a related field is required.
• 2 or more years experience writing documentation for social service program preferred
• 1-2 years of experience working in a non-profit or social service organization is preferred.
• Experience working with contracts, compliance requirements, audits, or quality assurance processes is preferred.
• An uncompromising sense of integrity and ethics, discretion and confidentiality
• Trustworthy, reliable, able to work independently and exercise good judgment
• Ability to establish and maintain cooperative and effective working relationships with others
• Excellent knowledge of Microsoft Suite and Google Suite; knowledge of Slack, Asana, DocuSign, Zoom and GoToConnect is preferred.

WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS:

• Prolonged periods of sitting at a desk and working on a computer.
• Changes in the environment, such as the office or outdoors.
• Physical effort/lifting, such as sedentary- up to 15-20 pounds at times.

SPECIAL CONDITIONS:

Mandated Reporting Requirements: All SPY employees are ‘mandated reporters’ and are legally required to report any reasonable suspicion of child, elder, or dependent adult abuse or neglect.

Driver Positions:
